Primary objective
To provide accurate and timely processing of work orders and payments for completed works on conformance and
maintenance contracts. Undertake administrative tasks on behalf of the team and project managers in relation to project
administration services.
Context statement
The Project Administration team within Civil Services provides project and contract administration services and advice on
business process and are responsible for ensuring the procurement and financial delegations are adhered to in the processing
of contract documentation and contract payments.
Key duties and responsibilities
1. Register and monitor incoming contractor invoices to ensure timely processing in accordance with the NTG Payment
Policy.
1. Process conformance testing and maintenance work orders and associated payments to contractors ensuring
compliance with procurement and financial delegations; and business processes.
1. Input data and run reports.
2. Under the guidance of the more experienced staff undertake basic project and contract administration tasks to assist
Project Administrators.
1. Provide general administrative support to the unit.
Selection criteria
Essential
1. Good Skills in maintaining data integrity with thoroughness, attention to detail and accuracy.
1. Ability to prioritise workloads, remain calm under pressure and effectively manage time to achieve multiple deadlines.
2. Good oral communication and interpersonal skills to raise and resolve matters with contractors and internal Project
Managers to ensure compliance is achieved prior to processing work orders and invoices.
1. Writing skills with the ability to prepare basic and accurate correspondence.
2. Knowledge and experience of accounts payable and reporting processes.
3. Knowledge of Asset Management Systems and reporting or similar, as well as Microsoft Word and Office related
software.
1. An ability to interact effectively with people from diverse cultures.
Desirable
1. Understanding of the technical terminology and language associated with the construction of the road and built
infrastructure.
