Job Title: Church Finance Manager and Bookkeeper
Reports to: Lead Pastor
Location: Surry Hills
Time Commitment: Part time (~2 days/week, flexible scheduling, with potential to grow as the
ministryexpands)
Term: 12 month contract (with view to permanent)
Remuneration: Commensurate with experience
Position Purpose
The Church Finance Manager and Bookkeeper will be responsible for overseeing all financial operations at Vine Church, ensuring the integrity, accuracy, and timeliness of financial data. This includes managing day-to-day bookkeeping tasks, such as processing transactions and reconciling accounts, as well as overseeing the church's budgeting, forecasting, and financial reporting. The role also involves reviewing and approving staff-related expenses, reimbursements, and ensuring compliance with all financial regulations.
This position requires a detail-oriented, proactive individual who can balance financial oversight with the hands-on management of church finances. It's perfect for someone passionate about supporting the ministry with sound financial administration.
Key Outcomes

• Streamlined expense approvals and reimbursements, ensuring compliance with policies.
• Maintaining positive cash flow and ensuring the church remains financially healthy.
Core Responsibilities
• Oversee and manage the church's financial records to ensure compliance with Australian tax laws and accounting standards.
• Prepare monthly financial reports (Profit & Loss, Balance Sheet) for the Lead Pastor and Parish Council, providing actionable insights for decision-making.
• Assist the Lead Pastor and Treasurer in preparing the annual budget and forecasting, helping ensure the church lives within its financial means.
• Provide regular cash flow reports and projections to help manage church finances effectively.
• Process daily transactions including invoicing, payments, receipts, and reconciliation of accounts.
• Reconcile bank statements monthly and ensure accurate coding of income and expenses.
• Ensure timely and accurate recording of all financial data, ensuring compliance with the church's accounting practices.
• Prepare and lodge quarterly BAS, ensuring accuracy and compliance with ATO requirements.
Payroll & Superannuation
• Administer payroll for all staff, ensuring timely and accurate payments, tax withholding, and superannuation contributions.
• Oversee superannuation contributions, ensuring they are compliant with Australian regulations and paid on time.
Accounts Payable and Payments
• Manage and report on staff budgets, ensuring expenditures remain within the approved budget limits, and limits are kept up to date set within Weel Expense Platform.
• Review and approve accounts payable raised by staff, ensuring they are legitimate, accurate, and within the approved budget.
• Approve reimbursements for staff or volunteers, ensuring compliance with church policies.
• Schedule and process payments via bank accounts, ensuring all obligations are met in a timely manner.
• Review all church expenses and ensure they align with the church's financial goals.
Compliance & Regulatory Responsibilities
• Ensure the church is fully compliant with tax laws, superannuation obligations, diocesan reporting, and all other relevant financial regulations.
• Prepare and assist with the annual financial statements, annual audit, and reporting for the Annual General Meeting and Sydney Anglican Diocese, including submissions to the Australian Charities and Not-for-profits Commission.
Donor and Fundraising Management
• Oversee the recording, allocation, and reporting of donations using the Planning Center Donor Management module, ensuring transparency and accuracy.
• Manage fundraising campaigns and ensure funds are allocated according to their intended purpose, including sending annual tax statements to donors.
Working relationships
• Lead Pastor (Toby Neal): Direct report; provide regular updates on financial position, cash flow, and budget status; support day-to-day financial decision-making and longer-term planning.
• Treasurer: Work closely to prepare reports, manage compliance, and ensure accurate financial governance and best practice.
• Staff & Ministry Leaders: Collaborate on budgeting and ensure expenses align with ministry goals.
• External Auditors/Tax Advisors: Work closely with auditors to maintain financial compliance and oversight.

The ideal candidate will have the ability to handle both day-to-day financial operations and strategic oversight, ensuring that the church's finances are accurately managed, compliant with regulations, and aligned with our mission and goals.
Qualifications
• Authentic and tested faith in the risen Lord Jesus as our only saviour and hope.
• Highly developed financial management and bookkeeping skills.
• Strong proficiency in Xero and Microsoft Excel.
• Excellence in professional skills, such as clear written and verbal communication, time management, organisation, and systems thinking.
• Proactive and positive personality with a problem-solving mindset.
• Integrity and confidentiality in handling sensitive financial data.
• Ability to work independently, while also being able to collaborate effectively within a team environment.
• Commitment to the mission and values of Vine Church.
Desired (but not essential)
• Experience in a church or non-profit environment.
• Active member of Vine Church (or willing to become one).
