We are seeking a Sales Administrator / Office Manager to provide essential support to our sales team and ensure smooth operations within our office. Ray White Catanzariti Family Group is comprised of 4 northern Gold Coast offices. Our Award Winning Upper Coomera office is seeking a motivated and passionate member to join their team.

**Your day-to-day responsibilities will include**:

- Prepare and distribute paperwork (form 6) and ensure timely delivery
- Coordinate with the contract department to request marketing tax invoices
- Order title searches, prepare contracts, and assist with auction contracts
- Maintain spreadsheets to accurately track property details
- Prepare property listings in AuctionsLive and assist with in-room auctions
- Facilitate communication with property managers for tenanted properties, including sending Form 9 and 10 and consent forms to tenants
- Order disclosure statements and ensure proper documentation flow between vendors and VaultRE
- Verify marketing payments and ensure they are processed promptly
- Launch property listings on websites via VaultRE
- Prepare window cards to showcase properties effectively
- Request rental appraisals and order signboards
- Coordinate marketing materials such as letters, DL flyers, social media tiles, and booklets
- Collaborate with the Contracts department
- Coordinate RateMyAgent review requests to sellers and buyers
- Support back-end tasks for REA and Domain platforms
- Update contacts in VaultRE accurately
- Prepare and send documents via Docusign
- Manage open homes by uploading listings, requesting open home social media promotions and flyers.
- Coordinate photo requests for virtual staging
- Prepare appraisal presentation folders
- Support agents' prospecting activities through weekly mailouts and DLs.
- Monitor office supplies and equipment inventory
- Assist with in-office event management
- Provide an exceptional level of customer service to all clients and customers on arrival to the office (the phones will be diverted so no switchboard to answer)
- Perform general office cleaning and maintenance tasks and maintain a clean and well-presented office
- Ensure the smooth running of the office on a daily basis
- Assist in driving daily calls and performance for the sales team
- Foster a positive and celebratory work environment by spreading love, laughter, and fun during birthdays and special occasions
- Some evening and weekend support may be required (from home)
- Act as the team's biggest fan and help motivate them to reach their goals and keep them accountable

- Previous real estate administration experience is essential, and a current real estate certificate will be highly regarded
- Professional presentation, and excellent verbal and written communication skills, to liaise effectively with all key stakeholders
- A positive and self-motivated attitude, with the ability to work both autonomously, and within a collaborative team
- Previous data entry experience utilising exceptional attention to detail
- Proven experience working with excel and CRM systems
- Strong organisational and time-management skills, with the ability to prioritise and work effectively in a fast-paced, deadline driven environment

**Salary**: $65,000.00 - $80,000.00 per year

Schedule:

- 8 hour shift
- Monday to Friday

Ability to commute/relocate:

- Upper Coomera, QLD: Reliably commute or planning to relocate before starting work (required)

**Experience**:

- Real Estate: 1 year (preferred)

Work Authorisation:

- Australia (required)
