Job Description:Eden Scott is delighted to be retained by our client to recruit for a Finance and Office Manager. This is a unique opportunity to work on one of the finest sporting estates in Scotland, situated in the stunning countryside near Forfar in Angus.
The Finance and Office Manager role is pivotal in the smooth running of the estate, and it is a varied role with the main duties listed below:
Payroll: Send information for monthly payroll to the accountant in the German head office. Check payroll accuracy, process payments through the bank, and prepare monthly payroll reports. Prepare contracts, tenancy agreements, and offer letters for new starters, and collect payroll information.Accounts payable: Ensure invoices are correctly addressed, filed through Docuware for approval by the Estate Manager, then coded for payment once approved. File paper copies in barcode order.Accounts: Assist with the preparation of annual budgets and monthly accounts. Provide information regarding accounts as required. Work with the accountant to ensure data on SAP and Docuware is accurate and up to date. Support auditors with annual accounts and ensure financial statements are signed by Directors for filing.Petty cash: Maintain petty cash records alongside the management team. Process receipts monthly.Beaters wages: Ensure sufficient cash is available for wages on shoot days. Keep accurate records of payments and balances. Prepare beater lists for the Head Keeper and update payroll accordingly.Vehicles: Keep records of all vehicles and equipment. Notify insurers of purchases or sales. Schedule MOTs and servicing, monitor mileage, and ensure taxes are paid. Process insurance claims and maintain documentation.Utilities: Confirm properties are on the company account and bills are accurate. Review council tax bills and update occupancy information as needed.Official forms: Complete all Office of National Statistics forms accurately and timely, including monthly salary reports.Staff: Keep staff records updated. Assist with training bookings and file training certificates.Meetings: Take minutes at estate meetings and distribute. Schedule staff meetings as necessary.IT: Manage system updates, report issues, set up new staff with email addresses, and coordinate IT equipment purchases with support.Administration: Provide administrative support to the Estate Manager and staff, including handling correspondence, tenancy agreements, employment contracts, and leases.
