Billing and Administrative Assistant Job Description

We are seeking a highly skilled and organized Billing and Administrative Assistant to join our team. As a key member of our operations team, you will be responsible for managing the end-to-end billing process, generating LEDES files, and ensuring timely submission through clients e-billing portals.

The successful candidate will have excellent communication skills, attention to detail, and the ability to work independently with minimal supervision. You will also have high level knowledge of Excel, MS Word, PowerPoint, and Adobe.

Responsibilities

* Manage volume end-to-end client invoice processing including edits, write offs, reversals and dispute resolution in line with strict client service standards and billing rules.
* Generate LEDES files and ensure prompt submission through clients e-billing portals.
* Set up and maintain users in clients e-billing portals.
* Set up delayed split invoices and track deductibles matters.
* Ensure proper setup of new clients including rate and guideline management and maintenance.
* Enter and maintain client agreed volume discounts and alternative billing arrangements in the firms practice management system.
* Provide general support to the Client Services team to ensure timely processing of a high volume of invoices.
* Assist as required with the new matter opening process ensuring all critical data and client specific rules and billing groups are captured and consistent.
* Update internal systems with client updates, including SharePoint, names, addresses, contacts.
* Ensure timely resolution of invoicing issues (including reversals) and assist (as required) with pro-active debtor management.

About You

You will be a strong administrative professional with experience gained in a law firm. You will have a Certificate in Legal Studies desired but not essential. You will have high level knowledge of Excel and be proficient in MS Word, PowerPoint and Adobe.
