Are you an organised, proactive, and relationship-focused administrator looking for a rewarding part-time opportunity? The Medical School is seeking a motivated Administrative Officer to provide dedicated support to our Director of Education and Year 5 MBBS Academic Team. This continuing part-time (0.5FTE) position offers the chance to work at the heart of clinical education, supporting final-year medical students as they prepare to step into their careers as doctors.

About the Role
As Administrative Officer, you will play an important role in supporting coordination of Year 5 teaching, placements, events, and academic processes. You will collaborate with clinical partners, hospital educators, academic staff, and final-year students - to keep operations running smoothly, supported by a friendly and caring team.
Key Responsibilities
* Year 5 Placement Support: Provide support with annual Pre-Intern and Palliative Care placement processes, including liaising with Clinical Deans and Hospital Placement Officers, and assisting with reporting and documentation related to student hospital placements.
* Event Coordination: Support the planning of major Year 5 events, such as the annual Hospital Information Night - by managing logistics, room bookings, stakeholder communication, and on-the-day coordination.
* Meeting Support: Provide administrative support for scheduled academic and operational meetings. This may include preparing agendas, attending meetings, and assisting with minutes and document management.
* Project Support: Assist with a range of ongoing and ad-hoc projects, including updates to procedural documents, handbooks, guides, and processes that support quality assurance and the student experience.
* Support to the Director of Education: Manage calendars and meeting logistics, track follow-up items, support recruitment and onboarding processes, coordinate staff communications, and assist with contract extension documentation.
* Teaching Block & Program Administration: Provide administrative support for Year 5 teaching blocks, including Back to Campus Days and GP Week. This may involve tutor bookings, room scheduling, updating digital platforms, coordinating materials, and supporting assessment-related logistics.

Role Requirements
As this is a continuing contract, you will require current work rights in Australia that match the tenure of this role.
