Primary objective
Provide high quality and confidential administrative, reception and secretarial support to the operational offices and leadership group
within the Greater Darwin Region, Department of Children and Families in the provision of regional corporate support services.
Key duties and responsibilities
1. Arrange, process and acquit official duty travel requirements including booking flights, accommodation and transport for staff and
clients ensuring compliance with legislation and Northern Territory Government (NTG) and departmental policies and procedures.
2. Purchase and receive goods and services within procurement guidelines ensuring accurate acquittal and reconciliation of corporate
credit card.
3. Provide administrative support to offices, including reception duties, minute taking and co-ordinating venue bookings and catering.
4. Provide training and support to staff on NTG, Agency and work unit administrative processes and procedures including travel, finance
and procurement.
5. Provide administrative support to other Greater Darwin Region Business Units as required.
6. Participate in an after-hours roster and assist in delivering the Department's statutory welfare group responses in accordance with the
Emergency Management Act.
Selection criteria
Essential
1. Previous practical experience in an administrative support role, incorporating secretarial support, reception duties, financial processes
and administering and coordinating staff travel.
2. Demonstrated ability to use a range of software packages preferably including complex client databases, word processing,
spreadsheets, records and financial management systems without the assistance of artificial intelligence applications.
3. Well-developed organisational and time management skills with a proven ability to work in an environment of continuous change with
attributes of flexibility and adaptability.
4. Well-developed communication and interpersonal skills to interact professionally with a range of internal and external stakeholders
and members of the public, using diplomacy, discretion, and empathy in dealing with confidential and sensitive information.
5. Demonstrated emotional resilience in difficult circumstances and ability to respond positively in a high pressure, and at times,
confronting work environment.
6. Demonstrated ability to work respectfully and professionally within a culturally diverse workplace servicing a diverse client base.
1. Ability to work independently and as a member of a team, to achieve timely outcomes in a busy work environment while maintaining
high standards of accuracy and attention to detail.
8. Demonstrated ability to work within legislation, policy, procedures and determinations related to employment, records management,
procurement, and financial management.
Desirable
1. Sound working knowledge of TRM (Territory Records Manager) or other similar electronic record management systems.
2. Northern Territory driver licence or ability to obtain prior to commencement.
