**About the Role**
This exciting and unique role will see you provide executive level administrative support to the International CEO supporting all personal requirements and assisting on the business side, as required, to ensure an efficient and responsive operating rhythm. You'll be exposed to a range of both personal-business and corporate-business related tasks and activities on behalf of the International CEO.
**Position Accountabilities**
- Provide direct administrative and office management support to the International CEO.
- Efficiently coordinate personal and private matters, including (but not limited to) insurance, vehicles, property management, invoice payments, personal appointments, and documentation.
- Present a professional, discreet, and positive image of the International CEO to all visitors and stakeholders.
- Collaborate with and provide coverage for the Executive Assistant (Business), assisting with business appointments, preparing travel itineraries, coordinating all logistics for domestic and international travel, and managing the International CEO's schedule and calendar. Ensure the CEO is fully briefed and prepared for all relevant matters.
- Organise, attend, and take minutes for meetings, as required, covering both personal and business affairs. Review documents, reports, and correspondence for format, content, grammar, and spelling, making necessary edits. Produce correspondence, memoranda, presentations, and reports on behalf of the International CEO, including those of a confidential or personal nature.
- Facilitate communication between the International CEO, board members, executive team, family office, and family members as needed.
- Assist in organising special occasions and events, handling logistics, communication, and conducting background research.
- Provide coverage for the International CEO's Executive Assistant (Business) when required.
- Liaise with property managers for both domestic and international properties as needed.
- Ensure accurate record-keeping, payment processing, and robust invoice management.
- Deliver comprehensive support to the CFO of the Family Office.
- Support to the Family Office CFO may include:
- Comprehensive administrative support.
- Preparation of monthly reporting packages.
- Updating and reconciling property-related expenses.
- Updating and reconciling investment reports.
- Managing the inbox.
- Scheduling appointments and meetings.
**Skills & Experience**
- Demonstrated ability to proactively set priorities, anticipate needs, and use sound judgement to manage complex, confidential, and sensitive tasks.
- Proven capacity to prioritise, anticipate requirements, and manage complex responsibilities.
- Resourceful, logical thinker with exceptional attention to detail.
- Strong ability to interpret and analyse information.
- Excellent organisational and time management skills.
- Enthusiastic self-starter with outstanding multitasking abilities, able to prioritise and work under pressure.
- Strong interpersonal skills, with the ability to build and maintain relationships across internal executives, external partners, board members, family members, suppliers, and clients on behalf of the International CEO and Family Office.
- Exceptional written and verbal communication skills.
