Program Coordinator will support delivery of multiple projects within the program to provide outcomes and benefits related to strategic objectives.
The role ensures projects are delivered within the organisation governance framework, including scheduling, monthly reporting, finance, general administrative support, project approvals and procurement support activities.
Accountabilities & Responsibilities
Assist and support the Program Director and Stream Leads in delivery of program objectives and benefits.
Monitor and anticipate administrative requirements to ensure effective, consistent, accurate and timely support.
Book flights and travel arrangements within the travel management system (for Program Director).
Calendar management – schedule and track meetings and appointments (for Program Director).
Maintain program budget and track expenditures/transactions.
Coordinate program governance requirements, including scheduling meetings, and undertaking secretariat duties such as preparing meeting papers/reports, documenting minutes of meeting and tracking actions.
Maintain program documentation including registers, schedules, milestone tracking and budgets with tight document version control.
Maintain and monitor program and inter-program dependencies.
Assist in procurement/contract administration (SAP ARIBA) across the program including responding to basic queries and escalating issues where necessary.
Support with business requirements/projects as directed.
Skills, Competencies and Qualifications
Demonstrated program and project coordination skills and experience with knowledge of governance frameworks, artefacts, and processes.
Ability to work effectively under limited supervision and manage competing priorities and timeframes.
Demonstrated high level interpersonal skills, including negotiation and conflict management.
High level decision making, problem solving and research skills to produce workable solutions.
Demonstrated ability to establish and maintain relationships to facilitate partnerships and cooperation.
Highly developed written and verbal communication skills.
Project management qualifications (desirable) and/or relevant experience.
Experience using Project Server, Microsoft Project and/or equivalent tools.
