Executive support involves delivering expert administrative assistance to senior leaders, driving project success and enhancing organizational efficiency.
About this opportunity:
* A 2-month assignment with potential extension
* Located in Parramatta
Key responsibilities:
* Coordinate approvals for the Executive Director across marketing, communications, and events
* Support team engagement by arranging new starter check-ins on behalf of the Executive Director
* Provide high-level support by managing TRIM requests, editing reports and presentations, compiling messages for approval, and approving timesheets
* Conduct regular reporting on City Engagement and Experience activities
* Coordinate team meetings and quarterly City Engagement and Experience Leadership Team planning sessions
* General administration support including ordering stationery, catering, and attending leadership team WIP meetings
* Coordinate project work, including research and drafting documents (milestones, project communications, minutes & presentations)
* Ensure timely and efficient operation of administration systems, including service requests, customer responses, record-keeping, and correspondence management
* Schedule meetings, prepare and distribute agendas
* Edit and produce well-designed documents using high-level computer skills in PowerPoint and Word
* Liaise with senior staff, Councillors, the public, government agencies, industry members, and executive managers as required by the Executive Director City Engagement and Experience
Requirements and qualifications:
* Diploma or equivalent in project management, communications, marketing, or events management, and/or other relevant qualifications
* Effective conflict management skills, particularly when dealing with difficult individuals
* Highly developed communication and report-writing skills
* Highly developed time management skills
* Highly developed windows-based computer skills, including Microsoft suite
* Substantial experience in an administration, office manager, or EA role
Desirable attributes:
* Experience in a fast-paced creative environment - advertising, marketing, events, customer service, or media would be advantageous
* Ability to lead and drive operational initiatives and projects
* A love of graphic design or copywriting would be valuable
Eligibility to work in Australia is required, and a current National Criminal Records Check must be undertaken and maintained.
