Primary objective
Provide high level administrative and executive secretarial support to the Commissioner of the Department of Corrections
and support the management of the daily business of the Office of the Commissioner.
Context statement
This position is located within the fast-paced environment of the Office of the Commissioner. The position works within the
office under the coordination of the Director, Office of the Commissioner and CEO. It requires a person who is experienced,
mature, calm, flexible, well organised and able to work under pressure and after hours as required.
Key duties and responsibilities
1. Monitor the timely preparation of information for the Office of the Commissioner, including meeting tight timeframes,
and quality control of all submissions and briefings for review by the Director, Office of the Commissioner and CEO and
the Commissioner, amending as necessary for accuracy, content and the appropriate standards.
2. Provide secretarial and administrative support to the Commissioner at the division's leadership groups and various
committees including collating responses from consultative processes, preparing for national and corporate meetings and
committees, writing briefing notes, agendas and meeting papers.
3. Provide executive support to the Commissioner including diary, IT, email, travel and accommodation prioritisation and
coordination.
4. Coordinate and compile reports and correspondence, carry out projects, research issues and provide other small project
assistance to the Commissioner.
5. Coordinate workflow and timely reporting between the Office of the Commissioner and other senior executives and
external stakeholders.
Selection criteria
Essential
1. Demonstrated high level experience in providing administration support and secretariat services in an executive
environment.
2. Demonstrated initiative, proactivity and organisational skills of a high order including an ability to anticipate, work under
pressure, independently and flexibly to complete competing tasks within required timeframes.
3. Demonstrated high level contemporary oral and written communication skills and problem solving skills, with the ability
to exercise discretion, initiative, flexibility and confidentiality.
4. Highly developed skills in contemporary Information technology packages (i.e. Microsoft office packages) to manage the
day to day management of correspondence.
5. Proven ability to develop and retain strong professional working relationships with internal and external stakeholders.
6. Well-developed administrative and organisational skills, including tracking and managing work deadlines, managing
information and successfully working with minimal supervision.
7. Demonstrated knowledge of records management policies, procedures and legislation.
Desirable
1. Knowledge of Cabinet and Ministerial correspondence procedures and processes.
2. Previous experience using NT Government IT systems such as TRIPs, NTG Pay, TRM
