The department operates from 17 offices across Australia, including 9 leased offices and 8 sub-leased offices. The Property Services section is seeking an enthusiastic APS5 to assist in managing the department's engagement with our Property Service Provider (PSP) and directing the PSP's actions in relation to the department's property portfolio, including Leasing Services, Facilities Management Services, Supplementary Services and additional services.
The key duties of the position include:
* review the Property Service Provider's critical dates report and ensure the department is prepared in line with decision timeframes
* assist with reviewing green leasing schedules and energy management plans
* provide administration support including setting up internal meetings, managing minutes and action items, developing lease life cost comparisons, liaising with the internal asset and finance teams
* complete the Property Service Provider performance management survey with entity feedback for the Department of Finance, including Satisfaction (key performance indicator) Assessment and Relationship Health Assessment
* support the section to participate in Governance Forums
* manage the shared mailbox, including storing corporate records in the department's records management system
* assist in preparing the department’s Emissions Reduction Plan, Emissions Reporting and Progress Update for input into the Commonwealth Climate Disclosure within the Annual Report
* validate the Property Service Provider's utility, waste and other property-related sustainability performance management data monthly.
