**Project Description**:
AusNet is planning to design, procure, construct, commission, and operate a new Western Renewable HV ac Transmission Link in Victoria Australia. The Project consists of new electrical 220kV/500kVac HV Transmission infrastructure to enable the ultimate interconnection of new renewable Projects to bolster the overall operating grid in Victoria Australia. The new transmission network is approximately 190 km in length and consists of 3 new greenfield terminal stations and modifications to eight existing 220 kV substations to facilitate proper commissioning of the new network.
**Role Overview**:
Under the direction of the AusNet Project Manager, the Project Document Manager will help establish, plan, control, and direct the AusNet scope of the document/records management program and some administrative activities. This is an initial 6-month contract role with the possibility to go permanent.
**Roles and Responsibilities**:
- Supporting the setup and maintenance of the Electronic Content Management System (ECMS) based on project needs, to register, control, distribute, transmit, file, and archive project records for a team.
- Assisting in the planning of the scope of document/records management work, establishing priorities
- Supporting the development of and implementation of the records retention and turnover plans.
- Communicating effectively with project team members, client, and field personnel to ensure quality, schedule and budget are met as defined.
- Supporting quality assurance audits, internal technical reviews, client reviews, and external audits.
- Managing project access to the ECMS by creating accounts and inviting users to the ECMS, perform associated tasks with ECMS administration, and train others in these tasks.
- Ensuring supplier and customer documentation is processed within established schedule standards.
- Preparing routine documents using standard word processing, spreadsheets, or other office software as needed to support work activities.
- Keeping abreast of department technologies, techniques, and services that become available.
- Planning, organising, and implementing systems for efficient document processing, including design and supplier documents, communication, and all other project document types.
- Ensuring training and training records for project administrative personnel are current.
- Compiling information, analysing and preparing reports, and establishing metrics for document/records management and administrative activities.
- May conduct presentations regarding project administration status and work process requirements, both internally and externally.
- Providing direction and training, partnering with administrative project teams for the processing of documentation.
- Participating in the coordination of project close-out activities inclusive of all functional groups represented on project.
- Working in an integrated team (Client, partners, suppliers, and Bechtel).
**Skills and Experience**
- Strong demonstrated project-based experience managing a document/records management with focus on configuration of the ECMS, work processes, and coordination of project workflow with other entities.
- Intermediate to advanced proficiency using standard office automation tools, including Microsoft Excel, Outlook, and Word.
- Able to organize and prioritize assigned document management tasks.
- Strong interpersonal and customer service skills.
- Able to work flexibly and collaboratively across all levels of the organization.
- Flexible and able to accept and quickly adapt to changes in work focus.
- Experience with the setup of a document management program (processes, procedures, tools, etc.) on a large-scale project will be highly regarded
- Advanced experience using Aconex (desirable but not essential)
