Executive Assistant – Office Coordinator

B Invested is seeking a highly organised, proactive, and professional Executive Assistant to provide high-level administrative and personal assistant support to our CEO and senior management team.
This is a fast-paced and trusted role that suits someone who thrives on structure, confidentiality, and variety.
You will play a key role acting as a central support point while maintaining exceptional standards of professionalism and attention to detail.
About the Role
As the Executive Assistant at B Invested and its group of companies, you will be a key ambassador for the business, supporting executive operations, managing documentation and contracts, coordinating events, and ensuring smooth day-to-day office operations.
You'll be confident juggling competing priorities and comfortable working across multiple business entities.
This is a full-time, office-based role in Norwest, NSW, working Monday to Friday.
Key Responsibilities
Provide day-to-day administrative support to the CEO and senior leaders
Manage complex calendars, meetings, and appointments
Monitor and manage senior leaders' inboxes and calendars, including prioritising, drafting responses, and escalating urgent matters
Coordinate travel and accommodation arrangements for management and teams
Prepare presentations, reports, correspondence, and meeting packs
Attend meetings when required and take accurate notes and minutes
Handle confidential and sensitive information with discretion and professionalism
Office & Administrative Operations
Ensure the smooth daily running of the office
Greet clients, visitors, suppliers, and contractors in a professional manner
Answer and manage incoming calls and enquiries
Manage mail, couriers, document filing, scanning, and version control
Maintain office supplies and ensure a tidy, well-organised workspace
Events & Stakeholder Coordination
Assist with internal and external events including conferences, training, and corporate functions
Coordinate venues, catering, flights, accommodation, suppliers, and logistics
General & Ad Hoc Support
Support managers and teams with administrative requests
Assist with compliance, reporting, audits, and operational improvements
Complete ad-hoc tasks to support business operations and strategic initiatives
About You
You are highly organised, reliable, and confident managing multiple priorities in a fast-paced environment.
You communicate clearly, take initiative, and pride yourself on producing high-quality work.
You will bring:
Minimum 3 years' experience in an Executive Assistant, Personal Assistant, or Office Coordinator role
Excellent written and verbal communication skills
High attention to detail and accuracy
Strong organisational and time-management skills
Ability to multitask across multiple business entities
Strong skills in Microsoft Word, Excel, and PowerPoint, as well as CRM systems
A professional, proactive, and adaptable approach
Confidence handling confidential information
