About the role:
This is a dual-level administrative role responsible for providing frontline customer service and essential back-of-house coordination for our Service function in Victoria. You will manage scheduling, technical coordination, and stakeholder support to ensure our service operations run seamlessly.
Some of the key responsibilities include:
* Service Coordination & Scheduling: Allocate work orders to Technicians and Service Agents, raise Purchase Orders, and coordinate part deliveries .
* Customer & Stakeholder Support: Act as the point of contact for general service enquiries and basic technical matters.
* Administrative Excellence: Maintain accurate records in Dynamics, assist with accounts receivable documentation, and support with quotations and reporting.
* Process Support: Provide overflow assistance for Level 1 tasks (like phone support and customer registrations) during peak periods.
* Team Support: Step in and support cross admin functions of Customer Care and Project Sales as needed.
What you will need to be successful in this role:
* Experience: At least 3 years of administrative or customer service experience, ideally within a technical or service-based industry.
* Technical Skills: Essential intermediate to advanced proficiency in Microsoft Excel and Outlook. Familiarity with CRM/ERP systems (e.g., Dynamics) is highly advantageous.
* Industry Knowledge: Basic understanding of mechanical/HVAC concepts and knowledge of AP/AR processes - highly regarded.
* Attributes: High attention to detail, a collaborative team mindset, and the ability to multi-task across competing priorities in a fast-paced environment.
