This role sits within a newly established infrastructure delivery platform responsible for large-scale, multi-stage energy and infrastructure projects currently under development and construction.
The Project Administrator provides high-level administrative and coordination support to the project delivery team, ensuring efficient project operations and helping establish structured processes, systems, and communication flows from the outset. This role plays a key part in supporting project reporting, documentation, and team coordination within a fast-paced, site-based delivery environment.
Key Responsibilities
* Provide comprehensive administrative and coordination support to the project team, including meeting coordination, action tracking, and document preparation.
* Support the establishment and continuous improvement of project administration systems, processes, and workflows.
* Maintain and oversee project records, registers, and documentation to ensure accuracy and consistency.
* Support project reporting, including preparation of presentations, dashboards, and status updates.
* Coordinate communications across internal and external stakeholders in a multi-disciplinary environment.
* Assist with onboarding and coordination of contractors, consultants, and site visitors.
* Support document control processes as required, including uploading, filing, and version tracking in project systems.
* Act as a central coordination point for project administration, ensuring timely follow-ups and responsiveness across the team.
* Provide guidance and oversight to junior administrative staff during peak periods as required.
Experience & Skills Required
* 5–7+ years' experience in project administration, office coordination, or similar within infrastructure, construction, or energy projects.
* Demonstrated experience supporting project setup phases, including establishing systems and processes.
* Strong organisational and time management skills, with the ability to manage competing priorities in a fast-paced environment.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Strong written and verbal communication skills, with confidence working across multiple disciplines.
* Ability to work autonomously and self-manage in a site-based project environment.
* Experience supporting project reporting and/or document control processes (preferred).
