About the Role
We're looking for a proactive and highly organised Personal Assistant / Office Manager to support our CEO and ensure smooth operations for our office in Geebung. This dynamic role combines executive support with office management responsibilities and would suit someone with strong organisational capability, attention to detail, and a people-first, service-oriented mindset.
What you'll be doing
Executive Support
* Manage CEO's calendar, appointments, and meeting coordination.
* Prepare agendas, take minutes, and track action items for leadership meetings.
* Draft and proofread emails, reports, presentations and internal communications.
* Coordinate travel arrangements and itineraries.
* Maintain confidentiality on sensitive matters.
Office Management
* Oversee the day-to-day office operations, including managing facilities, supplies, and equipment.
* Liaise with building management, cleaners, and maintenance providers.
* Organise office events, team-building activities and seasonal celebrations.
* Ensure office compliance with WHS standards and maintain safety documentation.
People and Admin Support
* Collaborate with other team members, providing administrative support and assisting with special projects as needed.
* Assist with onboarding/offboarding – desk set up and equipment allocation,
* Maintain staff contact list.
Finance and Procurement
* Process invoices and expense claims
* Manage vendor contracts and renewals
What you'll bring
* 3+ years in a Personal Assistant/Executive Assistant or Office Manager role, ideally in manufacturing or similar industry
* Proficient in Microsoft365 (Outlook, Teams, SharePoint, PowerPoint, Word, Excel)
* Strong organisational and time-management skills
* Sound problem-solving and attention to detail abilities
* Strong written and verbal communication skills, with a high level of professionalism and discretion
* Knowledge of WHS compliance for office environments
