Role Overview

We are seeking a highly organised, discreet, and proactive Personal Assistant to provide comprehensive support to the Managing Director. This role combines traditional executive assistance with limited household and family coordination duties, requiring flexibility, trust, and excellent time-management skills.

Key Responsibilities

Executive & Administrative Support

* Manage the Managing Director's calendar, appointments, and travel arrangements
* Act as a point of contact between the Managing Director and internal/external stakeholders
* Prepare correspondence, presentations, and reports as required
* Assist with inbox management, prioritising emails and follow-ups
* Coordinate meetings, agendas, and action items
* Handle confidential information with a high level of discretion

Household & Family Support

* Assist with scheduling and coordination of family-related activities
* Support with logistics related to children (e.g. school schedules, extracurricular activities, appointments)
* Coordinate household services and maintenance as required
* Assist with personal errands and ad-hoc tasks to support the Managing Director's day-to-day needs
* Liaise with service providers, tutors, childcare, or household staff when required

Skills & Experience

* Proven experience as a Personal Assistant, Executive Assistant, or similar role
* Strong organisational and time-management skills with the ability to multitask
* High level of professionalism, discretion, and reliability
* Excellent communication skills (written and verbal)
* Ability to work independently and anticipate needs
* Flexible and adaptable approach to work

Personal Attributes

* Trustworthy and detail-oriented
* Calm under pressure and solutions-focused
* Mandarin speaker is highly desirable
* Warm, respectful, and professional when engaging with family matters
* Willing to support both professional and personal priorities as required

Working Arrangement

* Occasional after-hours support may be required, with flexibility offered in return
