About the team
The Deputy Chief Executive Officer (DCEO) Office plays a pivotal role in enabling the strategic and operational success of the organisation. It provides high-level support to the DCEO and acts as a central coordination point between key external stakeholders and internal PWSS staff. The Office ensures information and priorities are aligned across governance, compliance, and organisational objectives.
The DCEO oversees three branches:
* Chief People Officer (CPO) Branch - Responsible for delivering client-facing human resource services, supporting staff wellbeing, workforce planning, and capability development.
* Chief Operating Officer (COO) Branch - Manages internal corporate support services, including financial management, legal services, ICT, and risk and audit functions.
* Chief Learning and Communications Officer (CLCO) Branch - Leads client-facing functions related to learning and development, communications, media, and data management.
This broad remit requires the DCEO Office to provide integrated, strategic oversight and consistent support across all agency functions. The team works proactively to identify and respond to emerging issues, facilitate collaboration, and ensure that organisational priorities are effectively advanced.
About the role
We're seeking an experienced and proactive Executive Assistant to provide high-level support to the Deputy Chief Executive Officer (DCEO), a senior leader responsible for guiding the day-to-day operations of the PWSS and fostering trusted relationships with stakeholders across the Commonwealth.
In this highly visible role, you will be instrumental in ensuring the smooth functioning of the DCEO Office. Your ability to anticipate needs, coordinate priorities, and streamline workflows will enable the DCEO to focus on delivering outcomes that matter.
You'll also extend your expert support to other senior PWSS Executives, including the Chief People Officer, Chief Operating Officer, and Chief Learning and Communications Officer, giving you exposure to a breadth of corporate and client-facing functions across human resources, governance, communications, and operational delivery.

The key duties of the position include
* Providing high-level support to the Deputy CEO and SES team, ensuring smooth day-to-day operations.
* Supporting and managing complex calendar scheduling, meeting coordination, and appointment bookings for all PWSS Executives.
* Organising travel logistics and process associated credit card and expense acquittals in line with policy.
* Facilitating seamless communication and engagement with senior stakeholders, parliamentarians, and staff across Parliament House.
* Coordinating internal and external stakeholder engagements, including diary management and meeting preparation.
* Assisting with Parliamentary business processes such as Senate Estimates, Questions on Notice, and ministerial correspondence.
* Preparing and managing documentation including formatting, filing, version control, and records compliance.
* Supporting the implementation of administrative systems and practices to improve organisational effectiveness.
* Managing information flow, prioritisation, and follow-up between the Deputy CEO and broader organisation.
* Assisting with special projects and tasks as directed by the DCEO.
