About the role

In this role, you will provide executive-level administrative support to the Australian and New Zealand Association of Paediatric Surgeons (ANZAPS). You will work closely with the ANZAPS President and Executive Committee to ensure the smooth running of meetings, financial processes and member communications.

Key responsibilities include:

* Coordinating and preparing agendas, papers, minutes and action lists for Executive Committee meetings and the Annual General Meeting
* Processing invoices, managing deposits, preparing quarterly BAS activity statements and following up outstanding payments
* Maintaining and updating the membership database, reviewing membership status and eligibility
* Circulating communications, job vacancies and updates to members
* Assisting with financial reporting, including support for research and investment funds
* Supporting the coordination of the annual scientific conference and other meetings as required
* Maintaining and improving the ANZAPS website

This position is part time, 15 hours per week until the end of December 2026, hybrid/remote working arrangements are offered for the successful candidate. The days/hours of the role are flexible and the role and would suit someone who enjoys working independently while providing reliable, practical support to a professional membership group.

About the team

ANZAPS is supported internally within Surgical Education and Training by a small team of three, including the Manager, Pathways, an Executive Officer (Paediatrics) and a SET Administrator. Externally, you will work closely with approximately 15–20 members of the ANZAPS Executive Committee and support a broader membership of around 160 Fellows and Trainees across Australia and New Zealand. The role also works with a range of specialty societies and key stakeholders connected to paediatric surgery.

About you

You are organised, detail-oriented and comfortable managing competing priorities in a part-time environment. You communicate clearly, maintain confidentiality and build strong working relationships with a wide range of stakeholders.

You will bring
* Experience in a Secretariat, Executive Officer or administrative role
* Experience with databases and maintaining accurate records
* Experience with bookkeeping tasks, including invoicing and BAS preparation
* Confidence using MS Office (Word, Excel, Outlook), Zoom and Google Drive
* Experience updating and maintaining website content
* The ability to prioritise work, meet deadlines and work both independently and as part of a team
