Job Summary
The role of an Administrative Support Specialist involves providing comprehensive assistance across various departments and teams.
* Support general workflow, document management, and task coordination to ensure seamless operations.
* Collaborate with leaders and team members to meet organizational objectives.
Key Responsibilities:
Payroll & Allocations
* Maintain accurate payroll records, including collecting required information and assisting with allocations.
Tendering & Project Support
* Contribute to tender preparation and bid submissions by gathering necessary materials.
* Maintain project systems, documentation, and client online portals up-to-date.
Financial Administration
* Manage employee personal expense submissions for timely processing.
* Process and reconcile credit card receipts in accordance with company policies.
* Review incoming invoices for approval and direct them to the relevant manager or Project Manager.
* Ensure regular clearance of approval queues and in-trays aligns with finance reporting cycles.
Onboarding & People Support
* Craft a smooth onboarding experience for new employees, including administrative tasks.
* Coordinate procurement of necessary supplies, PPE, and merchandise.
