Office Manager – Trade Services Industry

O’Brien Plumbing & Roofing | Sydney / Central Coast Region

We are a fast-growing plumbing and roofing business operating across Sydney, the Central Coast and Newcastle, delivering residential, commercial and maintenance services.

We are looking for a highly organised Trade Office Manager who understands the realities of running a field service business. This is not a generic admin role — we need someone who has previously managed operations in a trade-based company and understands scheduling technicians, quoting workflows, job costing and customer service.

You will be responsible for keeping the office running smoothly while supporting our field technicians and ensuring jobs move efficiently from booking through to invoicing.

This role is ideal for someone who thrives in a fast-paced trade environment and enjoys bringing structure, systems and leadership to an operations team.

Key Responsibilities

• Oversee day-to-day operations of the office team
• Manage and support customer service and dispatch staff
• Ensure technicians are scheduled efficiently and jobs are completed on time
• Oversee quoting, work orders and job workflow through the system
• Monitor job costing and ensure accurate invoicing
• Manage customer communication and service quality
• Improve office processes and operational efficiency
• Liaise with management regarding workflow, staffing and performance
• Assist with reporting, compliance and administration

Essential Requirements

✔ Previous experience managing an office within a trade services business
✔ Strong understanding of field service operations (scheduling, quoting, invoicing)
✔ Ability to manage multiple priorities in a fast-moving environment
✔ Excellent leadership and communication skills
✔ Highly organised with strong attention to detail
✔ Experience with trade management software (simPRO or similar highly regarded)

Highly Regarded

• Experience in plumbing, electrical, HVAC or building services businesses
• Knowledge of job costing and service maintenance operations
• Experience supervising office or dispatch teams
• Familiarity with Xero or similar accounting platforms
