Our client, a highly respected surgical practice based at St Andrews Private Hospital in Spring Hill, is seeking an experienced
Senior Medical Secretary / Practice Manager
to join their team. This full-time, permanent role (38 hours per week, Monday to Friday) will work closely with the Surgeon and part-time medical receptionist to ensure the smooth day-to-day running of the practice across three locations.

The ideal candidate will have extensive experience in medical administration or practice management, with exceptional organisational and communication skills and the ability to manage multiple priorities while maintaining a high standard of patient care.
Key Duties And Responsibilities
The Senior Medical Secretary / Practice Manager will be responsible for overseeing the daily operations of the Surgeon's private practice and surgical commitments. This includes:
* Supervising the part-time permanent medical receptionist.
* Managing all aspects of patient consulting sessions across three site locations, ensuring secretarial tasks are completed accurately and efficiently.
* Preparing theatre quotes and booking theatre procedures.
* Processing patient accounts, billing, and receipting, including Eclipse and online claims, and assisting with billing and bank reconciliations.
* Managing the diary to ensure clinics run smoothly and on time.
* Triaging all new patient referrals.
* Maintaining patient files and records.
* Providing support with patient correspondence, noting that the Surgeon uses a full AI platform for correspondence.
* Restocking office supplies and overseeing general facilities management to maintain an efficient and welcoming environment.
To Be Closely Considered, The Successful Applicant Will Demonstrate
* A minimum of 3 years' experience as a Senior Medical Secretary, Practice Coordinator, and/or Practice Manager, ideally within a surgical specialist practice.
* Experience and proficiency with Genie, Gentu, and/or Xestro software, Medical Objects, and inpatient/surgical billing platforms.
* Strong knowledge of private surgical billing, including Medicare, Private Health Funds, ADF, DVA, and WorkCover.
* Excellent communication and interpersonal skills, with a warm and caring approach towards patients.
* A strong work ethic, reliability, and the ability to work independently.
* Excellent organisational and time management skills, with the ability to manage multiple priorities efficiently.
The successful candidate will demonstrate a high level of professionalism, strong leadership qualities, and excellent communication skills, ensuring the smooth operation of the practice while fostering a positive and supportive environment for both patients and staff.
Remuneration
A salary in the range of
$40 – $48 per hour plus superannuation
will be considered for a suitably experienced candidate. The final salary is negotiable and will reflect the candidate's relevant skills and recent experience. Onsite car parking is also available.
