Position: Contract Administrator
Salary: $77,000 per annum plus 12% superannuation
Hours: 38 hours per week
Mode: Full-time
Location: 6-8 Maida Avenue, Sunshine North VIC ****
Experience required: Minimum 1 year experience in contract administration or project coordination
Duties and Responsibilities (but not limited to)
Prepare, interpret, maintain, review, and negotiate contract documents and variations for painting projects to ensure all parties are aligned and contractual obligations are met.
Manage contract variations by reviewing requested changes to scope, timing, or costs and preparing necessary documentation in consultation with the Director and clients.
Maintain accurate and up-to-date records of contracts, quotations, approvals, variations, and related correspondence to ensure compliance with company procedures.
Collaborate with the Director, painters, and site supervisors to ensure contract terms are understood and project requirements are met on time and within budget.
Act as the primary contact for clients regarding contract-related inquiries, providing timely communication and issue resolution.
Coordinate with suppliers to ensure timely delivery of materials and services necessary for project completion.
Monitor work progress against contract scope, report any deviations or issues to the Director, and assist in addressing delays or variations.
Track project budgets by monitoring materials, labour, and subcontractor costs, providing regular updates to the Director.
Assist in preparing quotes, job proposals, and basic reports aligned with project requirements and company standards.
Collect and analyse project data such as timelines, costs, and variations to identify trends and support process improvements.
Support day-to-day administrative tasks including scheduling, invoicing follow-up, and document management.
Recommend and contribute to improvements in contract management processes and communication to enhance operational efficiency and client satisfaction.
Qualifications
Diploma in Contract Management or relevant (Preferred but not mandatory).
Other Skills and Requirements
Minimum 1 year experience in contract administration or project coordination.
Strong understanding of contract law, procurement processes, and relevant industry regulations.
Excellent communication, negotiation, and problem-solving skills.
Ability to manage multiple projects and deadlines effectively.
