We currently have a rare and rewarding opportunity to work with us as an Executive Assistant (EA) supporting our Managing Director (MD) - Maritime, where you will use your exceptional EA skills to ensure they are always prepared and never miss a deadline or action. You will be responsible for the provision of high level, confidential and efficient administrative support. The position is essential to the efficient running of daily operations and coordination of events and programs of work.

This is based out of our Osborne Shipyard office in South Australia.

**Key responsibilities will include**:

- Coordinating regular internal reporting requirements ensuring responsibilities are met
- Liaising with the outer offices of Global Executive Committee members, Board Members, Senior Government and Australian Defence Force (ADF) Leaders where necessary to coordinate meetings, reporting, visits and any other relevant matters. As directed, co-ordinate VIP and general visits hosted by the MD Maritime including logistics of travel, meeting rooms, presentations and catering
- Travelling with the MD Maritime as required providing on the ground, agile support meeting the evolving needs of the executive office
- Coordinating complex international, interstate, and intrastate travel arrangements in accordance with the Travel Policy. Responsibilities include preparing comprehensive travel packs and itineraries, as well as managing the reconciliation of monthly expenses with precision and efficiency. This may also include obtaining relevant visas, security clearances and other necessary authorisations
- Providing high-level administrative support for executive meetings, including preparing detailed agendas and meeting packs, coordinating catering arrangements, accurately recording minutes, and documenting actionable items with accuracy and attention to detail.
- Building excellent relationships with both internal and external stakeholders with a high level of professionalism at all times
- Developing appropriate systems, procedures and controls to enhance the accuracy, timeliness and presentation of work

**About YOU**

**You'll have**:

- Over 5 years of extensive experience providing high-level support to C-Suite executives in a corporate environment
- An ability to exercise initiative and judgement whilst maintaining strict confidentiality and discretion
- The ability to recognise and deal discreetly with sensitive matters and demonstrate integrity
- Have a positive and professional manner and be relied upon to deliver results with a 'can do' approach
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Team orientated with the ability to work with a variety of people
- Be a motivated self-starter with excellent time management skills and ability to prioritise workload
- Advanced knowledge of Microsoft Office suite, especially in Outlook, Word, Excel and PowerPoint and experience with SharePoint
- Some out of hours work may be required
