Provide administrative assistance to the Marketing leaders, Holiday Advisor Manager(s), and Quality Assurance Executive. Service includes support for processing paperwork, organizing files, maintaining customer records, documenting advisor contests and incentives, communicating to other departments, coordinating and communicating schedules between marketing and holiday advisor departments.
Check all reservations through company systems. Identify each booking to be divided into owner type and sort of guest. Verify each booking for the latest presentation to qualify for the presentation. Provide the selected owner type and assign to Marketing Executive for doing Pre-Arrival Call service. Supporting the tour desk service for the onsite marketing team. Reporting to the manager for overall tours in each month and prepare for the next following month.
JOB SPECIFIC TASKS
**Marketing**:
Report guest details and arrival to manager.
Follow daily bookings and prepare information for the marketing team.
Acknowledge all customers and review documents accurately and completely.
Coordinate with the hotel operation for owner arrival and documents.

**Holiday Planning**:
Service includes processing paperwork, organizing files, maintaining customer records, documenting advisor contests and incentives, communicating to other departments, coordinating and communicating schedules between marketing and holiday advisor departments, and other tasks as may be required to support the company's efforts.
**Quality Assurance**:
The Quality Assurance tasks, primary responsibility is to assist the Manager or designate with the day-to-day procedures of site operations, execute the proper documentation of contracts and doing contract button ups.
On the back end, the administrator assists the site operations by assisting in member's bookings and any probable cancellation of a new member after the Holiday Advisor has met the member and before forwarding them to the Manager or designate.
On a secondary level, the Quality Assurance task may need to assist the Manager or designate with the site operations in terms of educating members.
**Encore**:
This position is responsible for coordinating post tour, the presentation for purchase of the Encore program to all TNS (Tour No Sale) guests. The role also includes related paperwork and information tracking.
Daily support for encore deposit process and create OTM lead.
**Other**:
Purchasing if needed.
