ABOUT THE ROLE
Reporting to the Shipping Executions Specialist, as Shipping Executions Officer you will be responsible for the end-to-end coordination and execution of sales order fulfilment activities for SO4. This includes sales order preparation and scheduling, label and documentation control, and the effective communication with the Packaging Plant, logistics service providers, and export stakeholders to ensure safe, compliant, and on-time product dispatch in accordance with operational and regulatory requirements.
Working with the team in the Sales & Marketing in Perth, your role will be responsible to carry out the following:
· Managing end to end order processing and proactively monitoring and reporting on delivery status
· Tracking customer compliance with binding export and domestic schedules
· Management of export processes for customs clearance, quarantine and terminal receival
· Collation, management, and verification of the required documentation for export, shipping and import in consultation with customers, through to invoice generation
· Proactively engaging with the nominated shipping lines to ensure container availability in accordance with sales forecasts and binding export schedules
· Coordination of external partners that are engaged by SO4 to provide specialist skills, services and support relevant to container exports and domestic shipments
· Lodging export-related applications and documentation such as Export Declaration Number (EDN) and Pre Receival Advice (PRA)
· Coordination of daily and weekly scheduling of on-site packing relevant to shipping line bookings and landside logistics movements
· Coordination of procurement and reconciliation of packaging materials aligned with sales and packaging schedule
· Development of strong and effective working relationships with key internal and external stakeholders including buyers
· Analysing and reporting on Sales Order Execution
· Preparing weekly reporting metrics for orders received, in process and completed
· Actively promote safety and demonstrate a personal commitment to safety
ABOUT YOU
You are a highly organised and proactive professional with a strong attention to detail. You have excellent communication skills and can confidently liaise with internal teams, external partners, and stakeholders at all levels. You are solutions-focused, able to manage complex situations under pressure, and committed to continuous improvement. Safety, compliance, and operational excellence are always your priorities, and you build strong, collaborative working relationships with colleagues and contractors.
To be successful you will have:
· Diploma in Logistics, or similar field
· Current "C" Class Western Australian driver's license
· –5 years' experience in export documentation, logistics, or supply chain
· Experience with international container shipping and mining/remote environments
· Proficient experience in Office 365, Pronto & Aconex
· Experience with Buy, Sell, Move software at an intermediate level
· Strong communication, analytical, and problem-solving skills
