The Role
We're looking for a highly organised, detail-oriented Administration & Finance Support Officer to keep the day-to-day operations running smoothly. The majority of this role is financial administration — primarily managing invoicing and accounts receivable in Xero, and proactively following up customers on outstanding or overdue accounts. You'll be the person who ensures our billing stays on track and customers are kept informed.
Approximately 20% of the role involves outbound calls and follow-up emails to prospective customers — warm leads rather than cold calling. If you're comfortable picking up the phone and having professional conversations, you'll be well-suited to this part of the position.
This is a flexible, part-time role ideal for someone based in Cairns who takes pride in owning their work and doesn't need to be micromanaged.
Key Responsibilities
* Manage invoicing, payments, and account reconciliation in Xero
* Proactively follow up customers on outstanding and overdue invoices
* Maintain accurate financial and customer records
* Support general business administration and operational tasks
* Coordinate sensor replacements, shipping, and basic logistics
* Prepare and mail sensor packages as required
* Assist customers with onboarding and basic support queries
* Conduct follow-up calls and emails to prospective customers (approx. 20% of role)
What We're Looking For
* Hands-on experience with Xero — invoicing and accounts receivable is essential
* Confidence in following up customers about payments in a professional and constructive manner
* Strong attention to detail and excellent organisational skills
* Ability to work independently and manage your own time effectively
* Clear, professional written and verbal communication skills
* Comfortable making outbound phone calls — prior sales support or customer-facing experience is an advantage but not required
