We value and are looking for bright, independent and innovative thinkers and are seeking a Paralegal to join our team. Your contributions will play a pivotal role in optimising our internal processes and ensuring the integrity and quality of our legal support systems.
Key Responsibilities:
1.Legal and Administrative Support
* Draft, format, and proofread legal documents (e.g., court forms, affidavits, contracts, correspondence).
* File and serve documents via Australian court portals (e.g., Commonwealth Courts Portal, NSW Online Registry).
* Manage diaries, schedule appointments, court dates, and deadlines, ensuring compliance with court rules.
* Maintain physical and digital filing systems in line with legal record-keeping standards.
* Perform administrative tasks such as drafting documents and preparing costs agreements.
* Assist with typing, reviewing/editing transcription as required.
* Liaise with clients, Barristers, Solicitors, Court Staff, and other stakeholders for specified tasks as requested including sending briefs, confirming dates, making appointments.
* Secretarial support for solicitors including brief preparation, drafting, and sending correspondence, file openings, booking conferences, mediations, etc).
* Engage in Legal research, fact gathering and information retrieval.
* Prepare for and assist at trial.
* Locate and interview witnesses.
* Travel to court appearances and other meetings including interstate as needed.
* Coordinate with Solicitors and others in order to ensure that tasks are completed in a timely manner.
* Perform other tasks as required.
2.Client Liaison
* Contact and conference with clients.
* Act as the first point of contact for clients, handling phone calls, emails, and in-person inquiries with professionalism.
* Assist with client onboarding, including conflict checks, engagement letters, and file opening.
* Provide updates to clients under the direction of supervising solicitors.
3.Document and Case Management
* Photocopy and receipt, transmission and recording of communications.
* Create and maintain client files electronically on firm's practice management software.
* Organize and archive files in accordance with the firm's policies and legislative requirements (e.g., Privacy Act 1988).
* Transcribe dictations, prepare briefs, and compile court bundles.
* Coordinate with external stakeholders (e.g., barristers, mediators, process servers).
4.Financial and Billing Support
* Assist with time recording, invoicing etc in compliance with the Legal Profession Uniform Law.
* Process expenses, track payments, and follow up on outstanding accounts.
* Assist in BAS lodgements, data entry and other account and invoice reconciliation tasks.
5. Compliance and Office Coordination
* Ensure adherence to firm policies, Australian legal ethics, and workplace health and safety standards.
* Order office supplies, manage mail, and maintain office equipment.
* Support ad hoc tasks such as event coordination or marketing initiatives.

Essential Skills and Experience
* Minimum 1–2 years of experience in a legal or professional services role.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software (e.g., LEAP, Clio, or Practice Evolve).
* Strong understanding of Australian legal terminology, court procedures, and document formatting or willingness to learn.
* Excellent time management and ability to prioritise tasks under pressure.
* Outstanding written and verbal communication skills.
* Superior attention to detail.
* Discretion in handling sensitive and confidential information.
* Strong experience using project management methodologies, principles, and techniques for managing system projects.
* Proficiency with Microsoft Office Suite and relevant case management software.
* IT savvy and capable of using online meeting resources such as Microsoft Teams, Zoom, and Webex.
* The ability to work independently and as part of a team in a fast paced legal environment.
* The ability to relate with people from diverse backgrounds, be highly trustworthy, and exercise good judgment.
* Knowledge of legal terminology, regulations and court system or a strong willingness and ability to learn.
Desirable Qualifications
* Certificate III/IV or degree in Legal Services, Law or equivalent higher qualifications
* Experience with e-filing systems (e.g., AustLII, CourtLink).
Hours and Dress Code:
* The positions are for a full-time (Sydney) or part-time role (Canberra). If part-time, a minimum of 3 consecutive full days is desirable.
