This is a dynamic full-time position supporting the Director of Trauma by providing high-level executive and administrative assistance in a fast-paced clinical environment.
* Manage the Director's calendar, including appointments, theatre schedules, research activities, meetings, and international travel arrangements.
* Coordinate and support meetings including Journal Club, Trauma Forums, and multidisciplinary team meetings with external stakeholders and medical industry representatives.
* Organise and maintain documentation for recruitment of Unaccredited Trainees and Postgraduate Fellows, ensuring accurate information collection via platforms like Platypus.
* Prepare and submit Continuing Professional Development (CPD) documentation for RACS recertification requirements, demonstrating expertise in health medical Recruitment processes.
* Liaise with internal departments to facilitate meetings, product demonstrations, and presentations, utilising tools such as Oracle and iProcurement.
* Manage conference arrangements including registration, travel itineraries, accommodation, and leave for the Head of Department (HOD).
* Support procurement and ordering processes, order stationery and other office supplies as required, ensuring efficiency in administrative tasks.
* Work closely with the Trauma Service to coordinate student placements, clinical observers, and contingent staff, promoting collaboration and effective resource allocation.
* Manage and update trauma and on-call rosters, maintaining up-to-date information and ensuring smooth operational flow.
The successful candidate will possess strong prioritisation skills, be able to multi-task in a diverse role, exercise independent initiative, and demonstrate previous Executive assistant and/or Secretarial experience.
