About the role
We are seeking an experienced Property Manager to join our team at the Sydney Head Office. This role supports the Property function in response to significant growth in acquisitions and network development. You will bring a well‐rounded, hands‐on approach to a broad range of property activities, including:
* Development, planning, updating, reviewing and coordination of contract procurement, property leasing, utility management and property/contractor information data base and records.
* Negotiation and coordination of contracts and property information to support the Demant entities across the Asia Pacific region.
* Manage re‐branding of acquisition clinics and other clinic Fitout and refurbishment projects
* Administrative support for meeting and documentation of all relevant statutory licences and certificates necessary for the operation of the organisation's services from its properties/facilities.
Key Responsibilities
* Negotiate with landlords, landlords' solicitors, and any other appointed external stakeholders for all new leases, renewals, exercising of options and terminations
* Manage and approve all property related rental, outgoings and other invoices in a timely manner
* Interface with the respective internal stakeholder to successfully define the parameters, lease terms, and limitations surrounding a possible lease, and related agreements.
* Continue communication with internal stakeholders about lease requirements or limitations until finalisation of negotiation
* Prepare final lease documents and summary of negotiated points for review and approval.
* Project management of refurbishments and rebranding of sites on time, within budget and meeting desired quality outcomes
* Liaising with the council and certifiers directly on matters of planning and permits
* Conduct contract and contractor procurement to support the operations in relation to all properties under management
* Manage allocated team resources, budget, assets, projects and staffing to maximise achievement of goals. These include Opex and Capex related expenditure, (For example. Rental, outgoings, signage, visiting site rental, utilities, refurbishments and fit outs.)
* Invoice Management for all property related costs to ensure that costs are recognised in the month incurred or due to be incurred (accrual).
* Manage property and preventative maintenance so that:
* Requests, follow‐up and resolution of repairs are conducted in a prompt and efficient manner
* Positive relationships are held with contractors
* The organisation continues to comply with all statutory obligations
* Exercise initiative and discretion within area of responsibility to analyse and address stakeholder complaints and performance issues relating to properties under management and implement effective responses. Promote and maintain a positive customer service/client relationship with all stakeholders
* Ensure timely and accurate reporting on service agreements and key performance indicators to internal stakeholders
* Develop, maintain (in a timely and accurate manner) and improve property related information management systems to ensure full knowledge of lease commitments, management of expenditure and an ability to meet compliance requirements. This includes (but not limited to) the Lease Register, HSP database, and any other system identified from time to time
* Administrative support for the achievement and documentation of all relevant statutory licences and certificates necessary for the operation of the organisation's services from its properties/facilities
* Undertake other duties as may be requested by the Head of Group Property, ANZ
About You
You will thrive in this role, if you bring:
* Strong attention to detail including financial attributes, report writing expertise and lease administration
* Proven ability to coordinate multiple projects, competing priorities and stakeholders
* A proactive approach to develop and maintain information management systems
* Excellent communication skills with proven negotiation and influencing capabilities
* Experience running data analysis and creating regular reporting including the annual budget
* Ability to make decisions under pressure independently and decisively and in line with current company policy
* Intermediate to advanced experience across the Microsoft suite of products, particularly Excel
* Considerable knowledge of principles, practices, methods and techniques pertaining to the appraisal of real estate
* Experience in the preparation of procurement documentation and evaluation of tenders
* Administration and financial budgeting and reporting, for the development, planning, updating and reviewing of contracts and property management
* Considerable knowledge of prevailing property laws
* Demonstrated ability to prepare and present oral and written reports and recommendations
* Ability to perform necessary research, due diligence and investigation
* Ability to conduct effective and commercially sound negotiations with property agents or landlords for site acquisition or repair and maintenance
* Proven ability to develop positive working relationships with a range of stakeholders, staff, customers, contractors, and suppliers
* Current drivers' licence and reliable vehicle
* Ability to travel interstate if required
Desired qualification and experience
* Minimum of 5 years' experience in property management and property lease administration, ideally within a multisite retail environment
* Extensive experience in lease negotiation and understanding of the Retail Tenancy Act
* Ability to read and interpret leases and relevant legislation by state
