Role: Senior Analyst

Purpose of the Role and the Team

The Enterprise Records Management and Privacy (ERMP) Program is a critical Group‐wide initiative designed to materially reduce Westpac's records management, privacy and data protection risk, and to deliver the mandated Return to Medium (RTM) outcomes aligned to the Board‐approved Risk Appetite Statement. The program spans both structured and unstructured data environments, including core applications, document and collaboration repositories, data warehouses, physical records and third‐party arrangements. Its focus is the uplift of controls, automation of retention and disposal, and the consistent application of enterprise policies and standards.

This Senior Technical Business / Operational Analyst role is a key delivery role within the Divisional Risk Buy‐Down stream, with a primary focus on onboarding new business areas across the bank onto the RecordPoint application to support the compliant disposal of unstructured records. The role requires a strong blend of business analysis and operational capability, underpinned by a practical, delivery‐focused mindset and the ability to support both change initiatives and business‐as‐usual outcomes within a complex enterprise environment.

Reporting to a Principal Business Analyst, the role provides deep subject matter expertise in records management and privacy operations. The role works closely with ERMP Operations, Technology, Risk, Privacy and senior business stakeholders to translate regulatory and operational requirements into effective system configuration, workflows, controls and reporting.

The role plays a critical part not only in the onboarding of new areas of the bank, but also in delivering the ERMP Target Operating Model by contributing to the transformation from manual, fragmented BAU practices to automated, insight‐led operations. This includes hands‐on contribution to system onboarding, operational design, data analysis, SLA management and issue resolution.

Technical Skills

* Define, document and manage business rules, functional and non‐functional requirements, and data requirements (including large unstructured datasets) across the full delivery lifecycle, in line with Westpac Transformation Delivery standards.
* Advanced experience using JIRA and Confluence to manage delivery backlogs, onboarding activities, requirements, risks and operational documentation.
* Strong data analysis and reporting capability, including the design and maintenance of Power BI dashboards for operational, risk and performance insights.
* Strong hands‐on experience with Microsoft Dataverse and the Microsoft Power Platform (Power Apps and Power Automate) to support operational workflows and automation.
* Working knowledge of ServiceNow for incident, request and workflow management in operational environments.
* Advanced ability to document end‐to‐end processes, operating models and control flows using MS Visio.
* Proven experience supporting system configuration, change design, testing and implementation within complex enterprise environments.

Functional Skills

* Demonstrated senior‐level experience in records management operations within the Australian banking industry.
* Strong understanding of privacy operations, including operational risk management, evidencing, controls and audit readiness.
* Experience supporting DSAR operations, privacy incidents and operational response activities (desirable).
* Strong capability in defining, monitoring and managing SLAs and operational performance.
* Experience conducting operational risk assessments, identifying gaps in current solutions and supporting remediation activities.
* Understanding of business continuity and operational resilience considerations within records and privacy operations.

Knowledge and Experience

* Extensive experience working in records management, privacy operations, data governance, risk or compliance functions within large, regulated organisations.
* Proven experience managing requirements across the full delivery lifecycle using Agile, waterfall or hybrid delivery approaches.
* Demonstrated hands‐on involvement with operational systems, data, workflows and controls; not limited to advisory or policy‐focused roles.
* Proven ability to work closely with Business and Technology teams to deliver system onboarding, automation and operational uplift.
* Strong understanding of records lifecycle management, including classification, retention, disposal and defensible deletion.
* Experience contributing to enterprise transformation initiatives focused on standardisation, automation and uplift of BAU operations.
* Experience supporting testing activities, UAT coordination and production verification.
* Ability to operate confidently at both detailed operational level and in discussions with senior stakeholders.

Soft Skills

* Highly developed stakeholder engagement skills, with the ability to influence and partner across business, technology, risk and privacy functions.
* Strong written and verbal communication skills, capable of translating complex regulatory and operational concepts into clear, actionable outcomes.
* Proven ability to develop, maintain and govern process maps, SOPs, operational procedures and control documentation.
* Experience designing and delivering training and enablement materials to support records lifecycle management activities.
* Strong organisational and prioritisation skills, with the ability to manage multiple concurrent onboarding activities.

Proactive, analytical and continuous‐improvement mindset, with strong ownership of operational outcomes.
