Primary objective
Provide high-level administrative support by coordinating specialist outpatient clinic bookings and waitlists, ensuring accurate scheduling,
efficient use of resources, and delivering patient-centred services to support the Ambulatory Care Unit.
Key duties and responsibilities
1. Coordinate and schedule specialist outpatient clinics and appointments in line with NT Health policies and service standards.
2. Manage and monitor multiple outpatient clinic waitlists, including uploading and processing referrals to ensure patients are booked
according to clinical priorities and triage outcomes.
3. Liaise with clinicians and Primary Health Care (PHC) clinics to coordinate outpatient and telehealth services, including notifying patients
of appointments, cancellations, and changes to maximise attendance and streamline care.
4. Accurately record and update patient demographics and financial classifications to support revenue generation.
5. Provide efficient administrative support to the Ambulatory Care team, demonstrating initiative, flexibility, and independence in the
absence of direct supervision.
6. Foster effective communication and collaboration among health departments and stakeholders to ensure seamless and coordinated
patient care, enhancing overall service delivery.
7. Work in conjunction with Patient Travel, Medical Imaging, and Theatre to align outpatient appointments, optimise resources and
ensure seamless patient care.
8. Perform additional duties as requested by the line manager to support operational requirements, including managing generic email
accounts, reception support, reporting, and auditing.
9. Multi-skill across designated areas to provide flexible administrative support as required.
10. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in
order to ensure high quality, safe services, and workplaces.
Selection criteria
Essential
1. Proven ability in providing high-level administrative support in fast-paced, high-pressure environments.
2. High-level proficiency in information technology, including MS Office, with the ability to develop and analyse reports in Excel.
3. Strong ability to work autonomously, using initiative and professional judgment in handling complex tasks with minimal supervision.
4. Proven ability to communicate with influence across a diverse range of stakeholders, both verbally and in writing, to effectively support
organisational objectives and foster collaboration.
5. Ability to set priorities, manage change and make administrative decisions under high pressure and time constraints.
6. Proven ability to consistently uphold strict confidentiality and privacy when handling highly sensitive patient information.
7. Demonstrated ability in streamlining administrative processes to maximise efficiency and productivity.
Desirable
1. Experience in a hospital or health service environment, with familiarity in using government IT systems.
2. Knowledge of medical terminology or relevant experience in a similar field.
3. Understanding of Speciality Outpatient clinical guidelines and policies.
