Job Summary:
The Personal Executive Assistant provides high-level administrative and personal support to senior executives or business owners, ensuring seamless daily operations, effective time management, and efficient communication. This role requires discretion, strong organizational skills, and the ability to manage confidential information while maintaining professionalism.
Key Responsibilities:
* Calendar & Schedule Management:
Manage and organize the executive's calendar, including scheduling appointments, meetings, and personal commitments. Proactively anticipate scheduling conflicts and provide solutions.
* Communication Handling:
Screen and manage incoming calls, emails, and correspondence. Draft responses and handle communications on behalf of the executive.
* Travel Coordination:
Arrange and manage complex travel itineraries, including flight bookings, accommodations, visa applications, transportation, and meeting agendas.
* Meeting Support:
Prepare agendas, take detailed minutes, and follow up on action items from meetings. Ensure the executive is well-prepared with all necessary documents.
* Document Management:
Prepare reports, presentations, correspondence, and confidential documents as required. Organize and maintain filing systems (both electronic and physical).
* Personal Errands & Tasks:
Handle personal tasks such as bill payments, gift purchases, household management, and other assignments as requested by the executive.
* Confidentiality:
Maintain strict confidentiality regarding all personal and professional matters of the executive.
* Stakeholder Liaison:
Act as the point of contact between the executive and internal teams, business partners, and external stakeholders.
Required Skills & Qualifications:
* Proven experience as an Executive Assistant, Personal Assistant, or similar role.
* Exceptional organizational and time-management skills.
* Strong written and verbal communication skills.
* Discretion and high level of confidentiality.
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to multitask and prioritize effectively.
* Problem-solving mindset with attention to detail.
* Professional demeanor and interpersonal skills.
* Willingness to be flexible with working hours when needed.
Preferred Qualifications:
* Experience supporting C-level executives.
* Knowledge of travel booking platforms and office management tools.
* Bachelor's degree in Business Administration, Management, or related field.
