We’re looking for an experienced and proactive Administration Officer to join our friendly Head Office team in Charlestown NSW on a full time basis.
This role would suit a highly capable all‑round administrator with at least 5 years of experience across finance, project support and general administration – ideally within the construction, surveying, engineering or consulting industries.
Indicative Responsibilities
These responsibilities reflect the typical duties of the role and may vary depending on business needs.
Finance & Accounts Support
- Prepare, generate and issue client invoices (Accounts Receivable)
- Monitor outstanding accounts and follow up overdue invoices
- Process supplier invoices and match purchase orders (Accounts Payable)
- Assist with weekly payroll processing
- Support month‑end tasks including reconciliations and reporting
- Maintain accurate financial records and assist the Finance Team as required
Project & Office Administration
- Assist with project resources (e.g. searches, Dial Before You Dig requests) and accommodation bookings
- Provide general administration support including filing, scanning, procurement and document management
- Help maintain compliance registers, forms and documentation within our ISO‑certified QHSE system
- Assist with incoming calls and front‑of‑house enquiries as part of a supportive team environment
- Support managers and project teams with various administrative tasks as needed
- Provide backup support to fellow admin team members during busy periods or leave coverage
Skills & Experience
- Minimum 5 years’ experience in administration roles
- Experience in the construction, surveying, engineering or consulting sectors (preferred)
- Strong organisational skills and the ability to manage competing priorities
- Excellent communication skills, both written and verbal
- High attention to detail and accuracy
- Proficiency with Microsoft Office Suite (MYOB experience highly regarded)
- The ability to work both independently and as part of a collaborative team
- A positive, proactive attitude and a genuine willingness to help others
