Project & Contracts Coordinator

Employment: Part Time ( 3 days potential for 4)
About the Company
Rise Architectural Builders is a high-end residential construction company delivering architecturally designed homes across Sydney and the Illawarra. We are seeking a motivated and detail-oriented Project & Contracts Coordinator to support the delivery of residential projects from pre-construction through to completion.
This role offers exposure across estimating, procurement, contract administration and financial tracking within a hands-on residential building environment.
Key Responsibilities
Estimating & Tender Support
* Assist with quantity take-offs and cost estimates
* Issue RFQs and review subcontractor pricing
* Assist in preparing tender submissions
* Compare and review subcontractor quotes
Procurement & Subcontractor Management
* Prepare subcontractor agreements and scopes of works
* Order materials and monitor delivery timing
* Coordinate and schedule subcontractors
* Review architectural and structural drawings to prepare material take-offs
Contract Administration
* Assist with progress claims and variation documentation
* Prepare and track RFIs
* Support subcontractor engagement
* Assist with Occupation Certificate documentation and project handover
* Track provisional sums and prime cost allowances
Financial & Cost Tracking
* Monitor and update project costings
* Draft and process invoices
* Maintain cost tracking registers
Project Documentation & Admin
* Maintain organised project folders and documentation
* Coordinate communication between trades, consultants and site teams
* Support the directors in daily operations and project management.
Software & Systems
* Use construction management and estimating software (e.g. Buildxact preferred but not essential).
* Maintain cost tracking and financial reports using construction management software
* Manage project documentation via Dropbox
* Prepare and track documentation using Microsoft Office (Excel, Word, Outlook).
* Utilise accounting software (e.g. Xero) for invoice processing and cost tracking.
About You
We are open to candidates who:
* Have experience in construction administration, estimating or procurement
* Are currently studying or have completed a qualification in Construction Management, Building, Engineering or similar
* Demonstrate a genuine interest in construction and a strong desire to develop within the industry

* Ability to manage multiple live projects
