Position Purpose
The International Student Program (ISP) Coordinator is responsible for the day‐to‐day coordination, administration, welfare and compliance of the International Student Program at Copperfield College. The role supports international students, homestay families, parents, staff, education agents and the Department of Education to ensure a safe, supportive and high‐quality educational experience.
The ISP Coordinator reports to the Principal and the designated Principal Class Officer responsible for the International Student Program. The position is full‐time, 5 days a week with 4 weeks of annual leave and a fortnightly leave‐purchase allowance.
Selection Criteria
1. Communication and Interpersonal Skills
* Demonstrated highly developed written and verbal communication skills, with the ability to build positive relationships and communicate effectively with students, families, staff, homestay providers, overseas agents and external agencies from diverse cultural backgrounds.
2. Organisation and Administrative Capability
* Demonstrated ability to manage competing priorities, maintain accurate records, meet deadlines and coordinate complex administrative processes with a high level of attention to detail.
3. Program Coordination and Leadership
* Demonstrated experience in coordinating programs, projects or initiatives, including the ability to work collaboratively, solve problems and achieve successful outcomes.
4. Student Well‐being and Support
* Demonstrated capacity to support student well‐being, engagement and successful transitions, with an understanding of international students' educational, social and cultural needs.
5. Compliance and Policy Knowledge
* Demonstrated understanding, or capacity to develop knowledge of, Department of Education International Student Program requirements, Child Safe Standards, privacy obligations and relevant policies and procedures.
* Experience working with international students, multicultural communities or student welfare programmes.
* Experience coordinating homestay arrangements.
* Knowledge of CASES21 and Department of Education International Student Program processes.
* A current Victorian Driver's Licence and willingness to undertake homestay visits.
Responsibilities
Program Coordination and Administration
* Coordinate the day‐to‐day operation of the International Student Program across the College.
* Maintain accurate student records and documentation in accordance with Department of Education requirements.
* Manage international student enrolment processes, including enquiries, applications, orientation, arrivals, transfers, departures and exits.
* Assist with student visa compliance requirements and monitor attendance, course progress and welfare obligations.
* Prepare reports and maintain data relating to international students as required by the College and the Department of Education.
* Support Campus Principals and staff with enrolment, placement and transition processes for international students.
Student Welfare and Well‐being
* Provide ongoing welfare, pastoral care and transition support to international students.
* Conduct regular wellbeing check‐ins and monitor academic progress, attendance, engagement and overall adjustment.
* Identify students requiring additional support and coordinate appropriate interventions and referrals.
* Support students in understanding College expectations, policies, procedures and Australian cultural norms.
* Ensure all international students are aware of and able to access student wellbeing services available at the College.
Homestay Management
* Coordinate and monitor homestay arrangements in accordance with Department of Education requirements.
* Conduct homestay inspections, assessments and monitoring visits.
* Maintain regular communication with homestay providers, students, parents and relevant stakeholders.
* Support the recruitment, induction and retention of suitable homestay families.
* Ensure all homestay arrangements comply with Child Safe Standards and Department requirements.
Stakeholder Liaison and Communication
* Act as the primary point of contact for international students, parents, homestay providers, education agents and Department of Education personnel.
* Liaise effectively with International Student Unit staff, College staff, overseas agents, parents and external support services.
* Facilitate communication between students, families, teachers and College leadership where required.
* Coordinate translation and interpreter services to support effective communication with students and families.
Student Orientation and Cultural Programs
* Coordinate orientation programmes for newly enrolled international students.
* Organise and implement cultural, educational, leadership and extracurricular activities that enhance students' understanding of Australian culture and community life.
* Promote opportunities for international students to engage with the wider College community.
* Support initiatives that celebrate cultural diversity and foster intercultural understanding across the College.
Marketing and Program Promotion
* Work closely with the designated Principal Class Officer to promote the College's International Student Program.
* Assist with marketing activities and engagement with prospective students, families and education agents.
* Promote the College within the wider community to support recruitment of international students and homestay families.
* Contribute to the development of promotional materials and information sessions as needed.
Compliance and Child Safety
* Ensure compliance with all Department of Education International Student Program requirements, policies and procedures.
* Support the College's commitment to Child Safe Standards and student safety.
* Monitor attendance, welfare, accommodation and academic progress requirements and raise concerns appropriately.
* Maintain confidentiality and manage sensitive information in accordance with privacy legislation and Department guidelines.
* Ensure all relevant documentation, records and reporting obligations are completed accurately and within required timelines.
General Responsibilities
* Work collaboratively within a large multi‐campus environment.
* Attend meetings, professional learning and training relevant to the role.
* Undertake other duties as directed by the Principal consistent with the classification level of the position.
