Job Title: Senior Administrative Professional
This is a high-profile opportunity for an experienced administrative professional to support the General Manager, SHES in Brisbane. The role involves providing executive-level support, managing complex schedules, coordinating high-level communications, and ensuring the smooth operation of the broader SHES team.
Key Responsibilities:
1. Executive Support:
* Manage incoming correspondence, emails, and phone calls; provide diary management and scheduling support;
* Coordinate meetings, agendas, and follow-ups; assist with SHES Board reporting;
* Organize travel and accommodation.
2. Team Operations:
* Support day-to-day operations through proactive administration; track milestone deadlines;
* Assist with planning and delivery of key initiatives; maintain filing and archiving systems; administer financial processes.
3. Communication & Coordination:
* Prepare presentations, reports, and communications; liaise with internal and external stakeholders;
* Organize events, workshops, and conferences.
4. Personal Organisation & Initiative:
* Plan work to meet deadlines and team priorities; anticipate needs;
* Demonstrate initiative in identifying and resolving administrative challenges.
Requirements:
* Secretarial/business administration qualifications;
* Advanced Microsoft Word, PowerPoint, and Excel skills;
* Significant experience in similar level roles, preferably in Construction or related industries;
* Extensive experience as a personal assistant to senior management levels;
* Demonstrated ability dealing with sensitive and confidential issues;
* Ability to work under pressure and manage conflicting priorities.
