Primary objective
The Information Coordinator provides high level executive and administrative support to the Executive Director Infrastructure
Maintenance and the Infrastructure Maintenance branch whilst supporting the day-to-day administration and business functions within
the Built Infrastructure division.
Context Statement
The Infrastructure Maintenance branch is responsible for the delivery of the NT Government urgent repairs and cyclical maintenance
program on behalf of agencies; including managing period and panel contracts for maintaining building assets; the emergency and disaster
management response for built infrastructure in the northern region and supporting regional offices to deliver infrastructure works and
asset maintenance.
Key duties and responsibilities
1. Provide executive and secretariat support to the Executive Director and Infrastructure Maintenance branch including providing sound
advice on business and corporate management issues, conducting financial reporting and analysis, and developing recruitment and
employment activities for the branch.
1. Prepare and coordinate a range of executive correspondence including ministerial, memorandums, reports and documents, ensuring
priorities are kept on track and deadlines are met.
1. Manage a range of financial and procurement functions including travel, purchasing and reconciliation for the branch, whilst also
supporting the day-to-day business functions of the Built Infrastructure division.
1. Provide support to the Executive Director and other staff within the branch through the provision of research, information analysis
and reporting, including pre-empting when information or advice is required.
1. Undertake secretariat functions for committees and working groups, including co-ordinating and booking meeting times and venues,
compiling agendas, distributing papers, and taking minutes.
1. Provide administrative assistance to the engineering team during disaster response and recovery operations.
Selection criteria
Essential
1. High-level organisational skills, with the ability to manage multiple tasks and projects to deliver outputs with tight and sometimes
conflicting deadlines under limited supervision.
1. Demonstrated experience working within an executive level team and a proven ability to use initiative, judgement and learn quickly
in a changing environment to make recommendations and implement innovative solutions.
1. Demonstrated high level communication skills both oral and written with a strong attention to detail and the ability to review, edit,
prepare and write clear, concise and timely memorandums, reports, Ministerial briefs, procedures or any other material.
4. High level of interpersonal and communication skills which result in being able to effectively and tactfully communicate and influence
at all levels and develop effective relationships with internal and external stakeholders.
5. Sound working knowledge of financial management, records management, human resources and procurement principles and
procedures or other governance frameworks.
6. Demonstrated experience and working knowledge of computer-based information systems including Microsoft Office.
7. Ability to maintain high-level personal performance to manage pressure and modify approaches to suit changing organisational
requirements and promote a culture of continuous improvement.
Desirable
1. Qualifications in Public Administration, Business Management and other relevant discipline
2. Experience in asset management or infrastructure programming work environments.
