College Music Administrator (Part-Time Contract)

South Coast Baptist College is seeking a highly organised and proactive Music Administrator to support the effective day-to-day operations of our vibrant Music Department.
This role plays an important part in supporting student engagement in music across the College by coordinating music tuition programs, managing timetables and communication processes, and providing administrative support for ensembles, events, and performances.
Working closely with the Director of Music, instrumental tutors, students, and families, this position is a key point of contact within our school music community.
About the Role
The Music Administrator will:
* Manage music tuition administration using COMPASS and related systems
* Coordinate student enrolments, withdrawals, tutor allocations, and room scheduling
* Maintain accurate music timetables and support scheduling across programs
* Respond to parent, student, and tutor enquiries relating to music programs
* Support reporting processes and maintain accurate records and documentation
* Provide administrative support for concerts, performances, assessments, and events
* Assist with administrative tasks across the Music Department and Vocal Academy
Selection Criteria
* Experience in an administrative role, ideally within a school or educational setting
* Experience using school management systems such as COMPASS or similar
* Strong organisational skills with the ability to manage complex timetables
* Excellent written and verbal communication skills
* Proficiency in Microsoft Office (Word, Excel, Outlook)
* Ability to work independently, meet deadlines, and maintain confidentiality
* Strong attention to detail
* Current Working with Children Check (or ability to obtain)
Desirable
* Experience working within a music or arts-based program
* Familiarity with instrumental music tuition or ensemble programs
* Experience managing databases, payments, or scheduling systems
* Confidence communicating proactively with parents and stakeholders

* Always act in the best interest of the College and its ethos.
* Adhering to all policies and procedures outlined by SCBC.
* First Aid certificate.
* Working With Children Card.
