The Role We are seeking an experienced Vehicle Maintenance Scheduler / Coordinator to join a high-performing fleet operations team on an initial 6-month contract, with strong potential for extension. In this role, you will be responsible for planning, coordinating, and overseeing vehicle servicing and maintenance activities across a network of external workshops and suppliers. Your focus will be on ensuring compliance, minimising vehicle downtime, optimising asset utilisation, and maintaining accurate maintenance records. Acting as the key link between internal stakeholders and external service providers, you will ensure all maintenance activities are scheduled, monitored, and completed efficiently while supporting operational performance through data-driven insights and reporting. This position requires strong analytical skills, advanced proficiency in Excel, and experience using Power BI to monitor performance, identify trends, and support business decision-making. Key Responsibilities: Coordinate and schedule all external vehicle servicing and maintenance activities Liaise with internal business units and external workshops/suppliers Raise and manage work orders and purchase orders Monitor and manage WIP and ensure timely closure of repair orders Track and update vehicle service compliance and overdue servicing Maintain accurate asset records including WCRs, ECRs, and tag-out registers Manage breakdown coordination and urgent maintenance requests Ensure service documentation is complete, accurate, and compliant Act as key point of contact for suppliers and workshop relationships Support KPI tracking and reporting using Power BI and Excel Ensure SLA adherence across internal and external stakeholders Analyse data to identify trends, anomalies, and improvement opportunities Support health, safety, and compliance obligations across all activities Skills And Experience Required: Minimum 3 years' experience in maintenance scheduling, service coordination or similar Strong understanding of vehicle servicing, ideally heavy automotive environment Experience working with external suppliers and workshop coordination Advanced Excel skills (intermediate to advanced level required) Strong Power BI reporting and data analysis capability Proficient in Microsoft Office (Outlook, Word, Excel) Experience raising and managing purchase/work orders Strong organisational, planning, and time management skills Excellent communication and stakeholder management abilities Ability to interpret data and identify patterns or issues Strong problem-solving and decision-making capability Proactive, accountable, and solutions-focused approach Benefits Offered: 6-month contract with strong potential for extension Hybrid working arrangement (1 day WFH per week) Exposure to large-scale fleet operations and compliance environment Opportunity to work closely with key industry stakeholders and suppliers Supportive and structured team environment Valuable experience in data-driven maintenance and operational optimisation About Toll Group At Toll, we do more than just logistics - we move the businesses that move the world.
