We are seeking an Administration Coordinator to act as the central hub of our business operations. Your role is to ensure that our administrative systems are not only running but are continuously optimized for efficiency. You will coordinate workflows across departments, manage office vendors, and oversee small-scale operational projects. If you are a master of the "to-do list" and thrive on bringing order to chaos, this is the role for me.

Key Responsibilities

Your focus is on System Integration and Workflow Coordination:

* Workflow Management: Act as the traffic controller for administrative requests, delegating tasks to junior staff or handling complex logistical needs yourself.
* Process Improvement: Evaluate current administrative procedures (e.g., travel booking, procurement, filing) and implement more efficient, tech-forward solutions.
* Vendor & Facility Coordination: Manage relationships with external partners—from IT support and insurance brokers to office maintenance and catering.
* Internal Communication: Lead the coordination of internal newsletters, company-wide announcements, and the maintenance of the digital employee handbook.
* Project Support: Assist department heads with the administrative side of special projects, such as office moves, software migrations, or annual audits.
* Budget Tracking: Coordinate with Finance to track office expenditures, manage petty cash, and prepare monthly expense reports.

Qualifications & Skills

* Experience: 4+ years in administrative roles, with at least 1–2 years in a coordinator or lead capacity.
* Project Management: Proficiency in project tools like Asana,, or Trello to track departmental deadlines.
* Tech Power-User: Advanced knowledge of Google Workspace or MS Office 365; ability to create automated forms or basic spreadsheets with complex formulas.
* Adaptability: A proven ability to pivot priorities quickly when urgent operational needs arise.
* Interpersonal Skills: The "soft skills" to negotiate with vendors and collaborate with diverse teams across the company.

Job Type: Full-time

Pay: $78,000.00 per year
