 
        
        Overview 
We are looking for someone to support our Sales and Marketing teams in a role that focuses on administrative support such as managing internal approvals, POs and invoices, collecting and reviewing evidence of the expenditure, as well as monitoring sales and marketing expenses against the budget. Reporting to the Commercial Director, this role offers an opportunity to work collaboratively across our teams to ensure effective financial management and operational efficiency within the sales and marketing departments. This is an on-site role based at our Head Office in Clayton, with the ability to work 1 day from home. 
Key responsibilities 
- Manage and process OAs (Office Automation - internal approval system) and POs to ensure timely and accurate documentation. 
- Review and track invoices for sales and marketing activities, ensuring they are aligned with budget and project requirements. 
- Reconcile monthly CBR (Claim Back Rebates), including off-invoice trading terms and promo funding, for accuracy. 
- Monitor and report on G&A;, sales and marketing expenses to ensure alignment with the departmental budget. 
- Collect and verify evidence of spend from sales and marketing teams to ensure proper allocation of resources. 
- Coordinate with vendors and suppliers to ensure accurate and timely invoicing and financial documentation. 
- Maintain financial records of all sales and marketing transactions for easy retrieval and auditing. 
- Assist in the preparation of financial summaries, budget reports, and reconciliations with the finance team. 
- Assist with any and all administrative tasks. 
Qualifications 
- A degree or diploma in Business, Marketing, or a related field, preferred but not essential 
- 1+ years’ experience in an Administrative, Sales or in a similar role 
- Experience in NetSuite or other ERP system is a plus 
- Understanding of sales performance metrics and processes 
- Team player attributes and ability to work cross-functionally 
- Strong interpersonal and communication skills to develop and maintain positive relationships
