Within the Financial Planning service line of Hood Sweeney, we take pride in delivering quality advice to high net-worth individuals with a focus on business owners and service professionals. We service more than 650 financial planning clients and manage a billion dollars of client funds through superannuation and investment portfolios under our own AFSL, operating on a 'client-first' principle'

About the role:

As part of our sustainable growth journey, we have an exciting opportunity for an experienced Executive Assistant to join our Financial Planning team. This role provides primary support to the Head of Financial Planning and secondary support to two Financial Planning Directors delivering high level executive, governance and client service support. A core part of the role is to provide board and committee support for our Financial Planning Board and Executive governance forums. You will also play a key role in managing client related queries and support, as well as coordinating executive priorities with efficiency and autonomy.

The core responsibilities will include:

Executive & Governance Support

* Provide high level EA support including diary management, email management and coordinating corporate travel;
* Coordinate and prepare for Financial Planning governance and leadership forums including scheduling, agenda preparation and distribution, the completion of minutes and action follow up;
* Provide secretarial support for the Investment Committee, including logistics, room and technology bookings, travel arrangements, minutes and follow up.

Director & External Stakeholder Coordination

* Manage all Director appointments, travel expenses and reimbursements, internal team meetings and external stakeholder meetings, ensuring briefing materials are prepared in advance.

Client Support

* Manage the Head of FP's client meeting schedule ( approx meetings p.a.), ensuring timely scheduling of strategic reviews, preparation and follow-up actions.
* Support the onboarding of new clients, including documentation, document signing and implementing investment strategies.
* Liaise professionally and in a timely manner with clients and third parties ensuring an excellent client experience.

Compliance, Documentation & Events

* Facilitate document signing and record-keeping to support AFSL, compliance and corporate services requirements
* Maintain accurate client and committee records, ensuring decisions, actions and file notes are captured and easily retrievable
* Assist with FP events and client facing activities, including managing invitation lists and logistics.

About you:

Ideally, you will have a minimum of 3-5 years' experience in a Personal Assistant or Executive Assistant based role within financial services, professional services, legal, superannuation or another related regulated industry.

You bring proven experience preparing agendas, board packs and accurate minutes for leadership or committee meetings along with a high level of professionalism and discretion. You are proactive, organised and confident managing competing demands with minimal supervision supported by excellent time management and interpersonal skills.

While this role is offered on a full-time basis, we are open to considering a part-time arrangement for the right person.
