Job Title: Office Administrator
We are seeking an organized and detail-oriented individual to fill the role of Office Administrator. As a key member of our team, you will be responsible for ensuring that visitors to our business have a positive experience while also providing general office and administrative support.
Key Responsibilities:
* Meet and greet visitors, issue security passes, and provide a brief site induction.
* Organize taxis and transportation for staff and visitors.
* Maintain the reception area to a high standard.
* Manage incoming and outgoing post, delivering it to relevant departments and operating the franking machine.
* Serve as the point of contact for the telephone answering service, directing messages to relevant personnel and updating information on new starters and leavers.
* Draft, format, and print documents for directors and senior leaders as needed.
* Arrange for the signing of specific documents and courier various documents upon request from Directors.
* Prepare for key meetings held at Head Office, ensuring facilities are ready, including refreshments and lunch orders.
* Maintain a tidy and professional environment in the office, meeting rooms, and kitchen areas.
* Attend key meetings to take minutes and distribute actions when required.
* Photocopy and file necessary documents.
* Manage calendars for Senior Management Team if required.
* Organize business events, including staff parties and customer dinners.
* Order office supplies and maintain a regular stock of necessary materials.
* Compile weekly whereabouts for office personnel and communicate with relevant individuals.
