Coordinate and provide accurate, timely and confidential executive, secretarial, technological, and administrative support to the CIP Directorate, Management Team, and other CIP staff.
- Undertake financial and procurement processes, through the preparation and processing of payments and expenditure claims, reconcile corporate card expenditure and create and managing purchase orders.
- Undertake diary management, including coordinating and organising meetings, interviews, conferences, and functions.
- Assist with CIP Human Resource functions such as: advertising, recruitment, induction, onboarding, and separation processes.
- Co-ordinate and conduct the booking, management and reconciliation of CIP staff travel and CIP's (QFleet) vehicles.
- Utilise a variety of software platforms and digital tools and environments to undertake business support tasks.
- Order stationery supplies and conduct stocktaking procedures.
- Prepare and circulate a variety of reports and analyse such reports for data trends and discrepancies.
- Maintain efficient, accurate and up-to-date filing and information retrieval systems to assist in the collection and collation of documents relevant to all CIP Courts and Programs; and undertake and coordinate archiving of such information and documents.
- Prepare routine correspondence, documents, and other material, in relation to project and program matters.
- Support the Business Manager in the efficient management of daily operations and delivery of corporate and business support services to CIP.
- Undertake other duties as directed by the CIP Directorate, Management Team, or Business Manager - whilst adhering to professional standards and organisational objectives.
