Contract Administrator – Mechanical (Defence Project)

$100K – $120K + Super (negotiable based on experience)
An opportunity has become available with a well-established national mechanical contractor, known for delivering complex, high-value projects across Australia. This role will see you join an experienced and collaborative project team, working on a major defence project in Canberra.
This is an excellent position for a Contract Administrator looking to step into a stable, long-term role with strong systems, structured processes, and exposure to technically challenging work.
Please note: Australian Citizenship is required due to the nature of the project.
The Role
You will play a key role in the commercial and contractual management of the project, working closely with Project Managers, Engineers, and Estimators to ensure smooth project delivery from handover through to completion.
Key Responsibilities
* Manage project financials, including budget setup and tracking within Pronto/Procore
* Prepare and issue purchase orders, subcontract agreements, and supplier contracts
* Oversee progress claims, including submission, assessment, and payment scheduling
* Process invoices and payments accurately and efficiently within internal systems
* Administer subcontractor and supplier agreements, including drafting, negotiation, and execution
* Act as a key point of contact for contractual matters with clients and subcontractors
* Assist Project Managers with cost forecasting, cost-to-complete, and cash flow reporting
* Manage variations (head contract and subcontract), ensuring accurate tracking and commercial outcomes
* Coordinate bank guarantees, insurance bonds, and project security requirements
* Support senior leadership with project reporting and commercial insights

About You
* Experience as a Contract Administrator (ideally within mechanical, construction, or building services)
* Strong commercial acumen and attention to detail
* Experience with project management/accounting systems (e.g. Pronto, Procore or similar)
* Ability to build relationships across project teams, clients, and subcontractors
* Australian Citizenship (essential requirement)
