About the Role
We are seeking a full-time Operations Coordinator to support the planning, coordination, and optimisation of cleaning services across multiple client sites.
This role goes beyond administration. It is focused on operational coordination, workforce planning, performance monitoring, and continuous improvement of service delivery systems in a dynamic, multi-site environment.
Working closely with the Directors, you will play a key role in ensuring that services are delivered efficiently, consistently, and in line with client expectations. You will be responsible for coordinating contractors, managing service schedules, and supporting the day-to-day operational flow across residential and commercial contracts.
A core part of the role involves analysing service requirements, reviewing job performance, and identifying opportunities to improve productivity, resource allocation, and overall service quality. You will contribute to the development and refinement of internal processes, helping to establish more structured, scalable, and efficient operational systems as the business continues to grow.
This position requires a proactive and solutions-focused mindset, with the ability to manage multiple priorities, respond to operational challenges, and maintain clear communication across clients, contractors, and internal stakeholders.
The role is ideal for someone who is detail-oriented, organised, and interested in developing their career within operations, process improvement, and service-based environments.
Key Responsibilities
· Coordinate daily and weekly service schedules across multiple client sites
· Manage contractor allocation, availability, and workforce planning
· Monitor service delivery performance, identifying gaps and operational inefficiencies
· Maintain and update operational records, job tracking systems, and service documentation
· Analyse service times, job requirements, and workforce utilisation to support efficient operations
· Liaise with contractors, clients, and suppliers to ensure continuity and quality of service delivery
· Assist with quotations, job variations, and service adjustments
· Support invoicing processes and contract-related documentation
· Contribute to the development and standardisation of operational procedures and workflows
· Identify opportunities for process improvement and support implementation of more efficient systems
What You’ll Bring
· Experience in operations coordination, project coordination, or service-based environments
· Strong organisational and planning skills with the ability to manage multiple priorities
· Ability to analyse operational information and support decision-making
· Strong communication skills when working with contractors, clients, and internal teams
· Advanced Microsoft Office skills, particularly Excel (data tracking and reporting)
· A proactive approach with problem-solving capability in dynamic environments
· Experience in cleaning, construction, logistics, or service operations is highly regarded
