Position Overview:
As a Pre-Delivery Administrator Officer, you will assist our Pre-Delivery (PD) and PD Detailing teams in the efficient processing and delivery of vehicles. Your contributions will be key in achieving our monthly vehicle delivery targets and maintaining our commitment to excellence.
Key Responsibilities
* Actively contribute to achieving the monthly delivered vehicle target.
* Understand the service process from order receipt to job card completion.
* Monitor vehicle arrivals via SAP and generate timely check-in packs.
* Organise and provide check-in packs to the Detailing Manager
* Scan job cards into the Cloud (Redmap) for documentation.
* Coordinate and document third-party vehicle movements using the TUNE system and supporting spreadsheets.
* Ensure vehicle detailing is completed and documented one hour before delivery.
* Communicate progress to sales staff, including revised ETAs and changes.
* Maintain an orderly and timely fit-out and sublet repair process for new vehicles.
* Uphold Toyota Standards by ensuring a clean and safe office environment.
* Maximise facility and manpower capacity through the service appointment system.
* Complete all Repair Orders that can be invoiced in TUNE by month-end.
Required Skills & Qualifications:
* Previous experience in a Pre-Delivery or dealership environment preferred.
* Proven guest relations skills, both in person and over the phone.
* Strong administrative and legible writing skills.
* Excellent communication skills, including listening and questioning.
* Effective time management skills; punctuality is essential.
* Ability to work independently and as part of a team.
* Highly motivated and guest service focused.
* Basic automotive knowledge and experience.
* Moderate computer skills.
