THE LITTLE FOOD MARKET | EVENT COORDINATOR

Join a passionate, close-knit team behind The Little Food Market and The Big Design Market events. We're looking for a reliable, proactive and highly organised Event Coordinator to support the planning and delivery of events across Melbourne and Sydney.

Working closely with the Owner, Event Director, Event Manager, Marketing Manager and wider team, you'll play a key role in keeping projects moving, supporting exhibitors and suppliers, coordinating operational logistics, and helping deliver large-scale events from concept through to onsite execution - all from our dog-friendly converted warehouse in Footscray.

Job Overview

Position: Event Coordinator

Pay: $70,000–$75,000 + Superannuation

Employment basis: Full time (Mon–Fri)

Location: Footscray (onsite only)

Hours: 9:00am–5:00pm (with 30 min lunch), with occasional weekend work onsite at events

This is a fast‐paced and hands‐on role suited to someone who enjoys working across multiple projects, thrives under pressure, and is excited by the world of events, food, design and hospitality.

Your role will include:

* Providing day‐to‐day administrative and operational support to the Event Manager and wider team
* Liaising and managing exhibitors in the lead‐up to events
* Managing compliance requirements including, food safety, liquor licensing, PLI, risk assessments and health & safety plans
* Assisting with event logistics, production timelines and operational planning
* Managing exhibitor communications, documentation and online exhibitor manuals
* Managing floorplan updates, exhibitor enquiries and operational documentation
* Providing administrative support to the sales team, including processing exhibitor information and supplying up‐to‐date event requirements, regulations, deadlines and operational timelines to the Event Manager
* Coordinating ticketing, registration systems and exhibitor ticket allocations
* Preparing exhibitor manuals and assisting the Marketing team with exhibitor onboarding
* Assisting with signage coordination, exhibitor information and event setup requirements
* Using project management systems such as Monday.com to help manage deadlines and stakeholder communication
* Preparing documents, briefing notes and operational information for staff and suppliers
* Working collaboratively across all departments and pitching in where needed during busy event periods
* Assisting with onsite event delivery, including build, pack‐down and operational support during event weekends
* Helping manage the Organiser's Office onsite and acting as a point of contact for exhibitor enquiries and event operations
* Managing inventory tracking, operational checklists and post‐event pack‐down procedures

We're looking for someone who is:

* A clear communicator - both written and verbal
* Organised, detail‐oriented and able to manage multiple tasks at once
* Calm under pressure and thrives in fast‐paced environments
* A strong team player and natural problem solver
* Friendly, approachable and professional with clients, exhibitors and colleagues
* Passionate about working in events, hospitality and food
* Comfortable using digital systems and quick to learn new platforms
* Familiar with project management tools such as Monday.com (or willing to learn)
* Mac/Apple literate, with experience using Microsoft Office, Google Workspace and Dropbox
* Willing to work flexible hours during event periods

1–2 years event experience is preferred, but not essential.
